PROGRAMME ASSISTANT

Hours: 40 hours per week, 8:30am – 5:00pm Monday-Friday

Annual Leave Entitlement: 20 Days plus 8 days bank holiday allowance

Salary: £15,760 per annum, pro rata

Location: MMUK Bradford

Reporting to: Programme Director

Overall aim:

Reporting to the Programme Director, this role is responsible for supporting and assisting the MMUK residential programme in the specific elements regarding resident care and welfare, ensuring that these aspects of the programme are delivered with excellence and integrity.

This will include but is not limited to

General Duties:

·  Provide tours of the Bradford Home to interested individuals and take responsibility for the welcome of visitors to the home

·  Respond to any actions necessary for individual residents as directed by Programme Management

·  Working closely and with effective communication within the Home Operations team and Facilitator team

·  Help resolve conflicts and minor disagreements between residents

·  Assist in training new members of the Programme team

·  Deal with any emergency situation in a calm and professional manner

·  Ensure MMUK house is kept to a high standard of organisation and well presented at all times

·  Undertake other duties as required to ensure the effective operating of the residential programme and support of the team

Administrative Duties:

·  Primary responsibility for the day to day office administrative duties to include (but not limited to) answering the phone to all calls coming into the home during office hours, responding to general queries, replying to general emails, sorting post and ensuring that the presentation of the office is visitor ready at all times.

·  Offering administrative support to the Programme Director when required

·  Responsible for care of all resident finances – including the handing out and taking in of any finances received by residents and submitting a weekly balance sheet to the Programme Director for review

·  Ensure Handover and Weekend folders are updated and kept in order

·  Ensure that all programme paper work and pro formas are photocopied and readily available for use

·  Monitor and maintain office administration systems and procedures

·  Prepare former residents’ files for archiving and assist in the administrative preparations for exiting residents

·  Monitor and maintain the MMUK Statistical Log

·  Assist with administrative preparations required for the arrival of a new resident including creation of electronic files and paperwork

·  Assist with new resident check-ins and check-outs, and ensure residents’ Personal Inventories are maintained

·  Prepare residents’ finances and medication for weekend passes, excursions and as required

Reporting:

·  Report any significant conversations and observations to all relevant staff in a clear and professional manner

·  Compile Daily Updates from Programme Leadership and Facilitators

·  Ensure that the Daily Report is updated regularly with any information needed

·  Compile Weekly Report and distribute to Executive Director of Programme Services, Programme Management team and all Programme Staff

·  Submit concise Weekly Activity Report to Programme Director

·  Responsible for CCL Music License reporting

·  Monitor and report items of note in the Measurable Outputs for the CBC and Home Operations departments

·  Complete and submit monthly medication audit reports

Scheduling:

·  Ensuring the MMUK programme schedule is adhered to, upholding all aspects with excellence, honour and integrity

·  Flexibility to cover any element of the MMUK Programme Schedule as requested

Other responsibilities include:

·  Attend conferences, exhibitions or events as a Mercy Ministries’ advocate. This will include ministering to young women in need, attending church worship and sermons, as well as manning the Mercy product/information stand as part of a team

·  Undertake any relevant training and show commitment to personal and professional development

·  Adhere to a strict confidentiality agreement and keep and securely store all records and paperwork.

·  Uphold and share the strong Christian foundation on which MMUK is built

·  Remain flexible and undertake other duties as assigned

·  Commit to actively fundraise, create positive partnerships and raise the profile of Mercy Ministries UK
