Senior Professional Services Coordinator
(for a period of max. 6 months)
Position/role description
Processes complex customer orders or changes on orders. Handles order processing issues, resource scheduling, none-managed projects and prepare billings of a technical or product related nature. Verifies accuracy of orders and order changes and resolves order problems with services, sales reps or finance. Performs other administrative duties as requested. Operates under minimal supervision, but within established guidelines and procedure. May provide work direction to other PS Coordinator(s). Typically reports to the International PSO Directors. Requires a minimum of four years of order processing, resource scheduling or data entry with a customer service orientation.
Main responsibilities and duties of the role
Process and manage none-managed* projects within internal guidelines such as:
- Training
- Process customer order.
- Organize training class from set-up to evaluation.
- One day offs**
* none-managed projects, small projects which will not be assigned to a project manager.
** one day offs, assignments like;
- few days consultancy
- site assessment
- etc.
Process complex customer orders within internal guidelines:
- Verify pricing, activities etc. and general compliance with contractual guidelines, using quotes, purchase orders and/ or contracts.
- Resolve any order problems with services, sales reps or finance.
- Reporting on order and project related details.
Process resource scheduling within internal guidelines:
- Schedule new and existing managed and none-managed projects.
- Optimize utilization.
- Handles and resolve resource scheduling issues with services.
- Reporting on scheduling details.
- Facilitate scheduling meetings with other PS Coordinator(s), Project Manager(s) and Services Management.
- Serves as a focal point for and liaison between departments.
Process billing preparation within internal guidelines:
- Periodically verify managed and none-managed on progress, completeness etc.
- Handles and resolve issues during the preparation phase.
- Reporting on financial details.
Performs other administrative support duties as requested.
May provide work direction to other PSO Coordinator(s)
Main requirements for the role
Education and Work Experience
General high school education or equivalent. Usually requires a minimum of four years of order processing, resource scheduling or data entry with a customer services orientation.
Specialized Knowledge and Skills
* Be able to achieve results based on a clear view and defined tasks, ‘helicopter view’ necessary.
* Excellent planning and organizational skills required.
* Knowledge of company's products and services activities practices. Detail oriented.
* Have excellent Dutch, German and English writing and oral skills.
* Be able to travel when necessary.
* Excellent communication and interpersonal skills required.
Equipment and Applications
PCs and various software applications.
Work Environment and Physical Demands
General office environment. Some stress may occur. Nature of the job requires constant repetitive motions.
