Moving Voice Messages into an Outlook Folder
*complete these steps before leaving campus
A Word of Warning!!: If you set this rule for your voice mail to be automatically moved into a folder you will not receive an alert on your phone that there is voice mail waiting. You will only see the evidence of voice mail in the folder you created in email. In order for the phone to register that there is voice mail the mail must first appear in the Inbox then be moved to a folder.
When you are on campus and want voice mail to be received on alerted on the phone and through email, uncheck the rule you created (do not delete the rule) When you leave campus and only want the voice mail through WebMail add the check to the rule.
Steps to Create the Rule and Folder for Voice Messages
- Create a folder in Outlook for your voice messages to be stored
- Open Outlook
- On the menu bar, click on Tools / Rules / Alerts
- In the dialogue box, be sure the e-mail Rules tab is selected
- Just under the tab, locate and click “New Rule” button
- Rule Wizard dialog box opens
- At the top of the wizard, select “Start From Blank Rule” (radio button)
Step 1: Click on “Check Messages When They Arrive”
Step 2: Keep step 2 as is
- Click the “Next” button at the bottom of the box
- Select “Conditions To Be Checked”
Step 1: In the list, check mark “With Specifics Words In Subject”
Step 2: Click on “Specific Words” link located in the bottom box area
Step 3: Search Text dialog box opens and type in “Message From” and
Step 4: Click “Add”
Step 5: Click “Next”
Step 6: Check “Move to a specific folder”
(choose folder you created from your Inbox folder list)
Step 7: Click OK
Step 8: Click Next
Step 9: Click Next
Step 10: Select “Turn on this Rule”
Step 11: Review rules
Step 12: Click Finish
Step 13: Select Apply and OK
