Introduction

Employers are responsible to have on hand a current Materiel Safety Data Sheet (MSDS) for each WHMIS controlled product used in the workplace. We must ensure that MSDSs are readily accessible at the work site for workers in case of a spill or incident or for educational purposes.

A good MSDS management system should include

  • Site specific hazardous material inventory
  • Mechanism to ensure that a current MSDS is available for each hazardous material used
  • A review / approval system of new hazardous material; before they are introduced to the facility
  • Identification of hazards associated with products with workers prior to use

Benefits obtained by companies having a robust MSDS management system include:

  • A safer workplace
  • Hazardous material inventory to share with local emergency response (i.e. Fire Department)
  • Ability to identify impact of regulatory changes on a particular hazardous ingredient
  • Readily accessible current MSDS

Our online MSDS Management through MSDSWorld provides us with an electronic solution for managing and distributing our Material Safety Data Sheets. With this service we get:

  • Automatic updates of MSDSs
  • Online access for dept managers and employees
  • MSDS is fully searchable by product name, product number manufacturer or supplier name
  • Search for MSDS by department
  • Site specific inventory of MSDSs
  • Workplace Labels

This manual includes:

  • Procedures for accessing, viewing and printing your MSDSs online

and for maintaining an accurate library of MSDSs for your department

  • A section for hardcopies of your current MSDSs
  • A section for WHMIS procedures

All Employees should be aware of the location and contents of this MSDS Manual for their department.

Section one - Procedures

1.MSDSWorld

There are a few easy ways to access MSDSWorld.

1.1 Logonto MSDSWorld

  1. Log onto PC using your ID and Password.
  2. Launch Internet Explorer by double clicking on Explorer icon.
  3. Go to RVH Home page. If you do not already have it on your favorites list type the address bar,left click go button or press enter key. Right click on Favorites on your windows toolbar, click to Add to Favorites and click ok.
  4. At the RVH Homepage double click on the red MSDSWorld button.

OR

  1. Log onto PC using your ID and password.
  2. Launch Internet Explorer by double clicking on Explorer icon.
  3. In the address bar type:
  1. Left click go button or press enter key.
  2. When you have reached MSDSWorld you can left click on Favorites on your windows toolbar,left click to add to favorites and left click ok. The MSDSWorld link will be added to your list of favorites.

OR

  1. When you have reached MSDSWorld you left click on File onyour Windows toolbar. Scroll down to Send and choose send shortcut to desktop. This will create an Icon on your desktop and link to the MSDSWorld RVH website.

2.Materiel Safety Data Sheet Summary

The MSDS Summary provides a quick reference to the vital information contained on the MSDS. The summary sheet will assist in understanding the hazards associated with using controlled products. All the relevant information for each product is presented in a consistent, easy to read format.

The MSDS Summary Sheet includes information such as Product Name, Product #, Department used, WHMIS Classification, PPE Requirements, TDG Requirements, First Aid Requirements, Handling and Storage Requirements and WHMIS Classification.

2.1View MSDS Summary, Materiel Safety Data Sheets and Labels

  1. Access MSDSWorld RVH Website
  2. Left click on your Department name in the drop down box
  3. You may search for the item using a number of criteria including the product name, product code, manufacturer etc. Enter this information into or leave the input search criteria box empty and left click on the submit button.

  1. Click the Document Title to view the document.

  1. Left click in the Bookmark section of the screen.
  2. Left click on Summary, MSDS or Label to view.

2.2Print MSDS Summary and Materiel Safety Data Sheets

  1. Access MSDSWorld RVH Website.
  2. Go to Material Safety Data Sheet Library.
  3. Left click on your Department name in the drop down box.
  4. You may search for the item using a number of criteria including the product name, product code, manufacturer etc. Enter this information into or leave the input search criteria box empty and left click on the submit button.
  5. The MSDS Library page will appear.
  6. Left click the Document Title.
  7. In the bookmark section of the screen left click on Summary or MSDS.
  8. Left click on the printer icon.
  9. To print the Summary only left click Currentpage in the print range area and then click OK.
  10. To print the MSDS pages left click Pages from in the print range area and enter 2 in the Pages from field and the second last page number of the document in the Pages to field and then click ok.
  11. To print all documents left click All in the print range area then click OK.

3.Workplace Labels

Workplace labels may be printed for each product.

3.1 Print Labels

  1. Access MSDSWorld RVH Website.
  2. Left click on your Department name in the drop down box.
  3. You may search for the item using a number of criteria including the product name, product code, manufacturer etc. Enter this information into or leave the input search criteria box empty and left click on the submit button.
  4. Left click the Document Title.
  5. Replace printer paper with 8.5 x 11 Avery label # 5168.
  6. In the bookmark section of the screen left click on Label.
  7. Left click on the printer icon.
  8. In the print rangearea choose Current page then click OK.

4.Update MSDS Library

Every four monthsMateriel Management will notify MSDSWorld of any additions and deletions of controlled products used at RVH. These additions and deletions will be identified though the purchase of new controlled items, by identifying products that have been replaced by a new product and by identifying products that are no longer used.

Deletions we have made from our MSDS Library

Changes to product information for existing MSDSs

MSDSWorld will complete the changes and notify Materiel Management that our Library has been updated.

Update Schedule

Materiel Management sends additions and deletions to MSDSWorld in / MSDSWorld completes updates to RVH MSDS Library in
January / February
May / June
September / October

4.1 Add a Product

  1. The Department Manager completes a requisition to purchase a new product and indicates on the purchase requisition that the item is/may be a controlled product.
  1. Materiel Management/Purchasing notes that a controlled product will be ordered and requests a MSDS for the product from the vendor.
  1. The Vendor faxes the new product’s MSDS to Materiel Management/Purchasing.
  1. Materiel Management/Purchasing forwards first page of MSDS to MSDSWorld.
  1. MSDSWorld updates our online MSDS Library and sends e-mail to Materiel Management to confirm product has been added to the Department(s) Library.
  1. Materiel Management e-mails the Department Managers letting them know the new MSDS is available for on-line review and/or printing and their MSDS binder should be updated as required

4.2 Delete a Product

  1. The Department Manager notifies Materiel Management/Purchasing that a product has been replaced or is no longer used in their department
  1. Materiel Management/Purchasing notifies MSDSWorld that the product is no longer used and should be removed from the Department’s Library
  1. MSDSWorld updates our online MSDS Library and sends e-mail to Materiel Management to confirm product has been deleted from the Department(s) Library
  1. Materiel Management e-mails the Department Managers letting them know the MSDS has been removed and their MSDS binder should be updated as required

5.Maintain MSDS Library and Binder

At least once a year it is recommended that each Department review a list of all MSDSs that are in your Department Library on our MSDSWorld Website and forward any changes to Materiels Management/Purchasing.

This review works best if it is done shortly after MSDSWorld has completed one of the scheduled four month updates and your Library should be completely up to date.

An up to date inventory list of the MSDS Library for each Department can be printed and filed in the MSDS manual.This can be done after the update process is completed and if you have received an e-mail from Materiel Management indicating your Library has been updated.

It is the department’s responsibility to keep the hardcopies of the MSDSs up to date.Deleted MSDS’s should be removed. You will only have to print an MSDS if a new product has been added or if there have been changes to your existing MSDSs such as product composition or safety precautions. You do not need to reprint an MSDS if only the expiry date on the MSDS has changed.

5.1Audit Department MSDS Library

  1. Access MSDSWorld RVH Website.
  2. Go to Material Safety Data Sheet Library.
  3. Left click on your Department name in the drop down box.
  4. Left click on the submit button.
  5. Left click on printer icon to print your list of inventory of MSDSs.
  6. Review all your controlled products and indicate any additions or deletions on your inventory list.
  7. For additions be sure to include the manufacturer and product code that is found on the product label.
  8. If you have no changes nothing needs to be done.
  9. If you have products to add or delete forward list to Materiel Management.

1. WHMIS Employee Declaration

The WHMIS Employee Declaration form for each employee can be filed in this section. This form can be found on our MSDSWorld website in the Useful Links area and printed off as required.
