Sampling Start Up Kit

To the Adviser:

Your company and Nutrient Management Systems have entered into an arrangement for your use of a system for: -

  • The supply of Laboratory Services (your choicefrom a selection of Labs) and the electronic delivery of results toa decision support software application in"SoilMate".
  • Use of the"SoilMate"software application to evaluate soil and plant tissue laboratory results, and assist in the creation of recommendations and reports for farmers. This involves the supply by your company ofevaluation data and fertilizer product list data.
  • Use of Help Desk services in the use of the system.
  • Associated training, accreditation, auditing and provision of updates.

This kit contains the following:

1/ Introduction and Process - Samples to the laboratory (This document)

2/ Barcodes (1 page)

3/ Sample Order Form (1 Form)

4/ Sample Information Form (2 Forms)

5/ Laboratory Product Range- Suite of analytes, calculations and prices from choice of Labs

6/ Screen dumps showing NMS website and SoilMate Eastern Australia updates

7/ Screen dumps showing how to logon the NMS website and get your lab results and Lab Product Range.

Farmer pricing - details to be supplied by your company not Nutrient Management Systems.

Getting the Sample to the Laboratory

  1. The adviser prints the SOF (Sample Order Form) and the SIF (Sample Information Form) from SoilMate software. See samples of the Sample Order Formand the Sample Information Formprovided.
  1. The Adviser prints a page of barcodes onto a barcode sticker sheet* (from within the SoilMatesoftware when logged onto the NMS website). See theBarcode sheets provided for your immediate use.
  1. Barcode Sticker Sheets, Sample Bags and Express Post Packsare to be provided by the Adviser.

Sample bag suggestion - In most situations, a Glad snap lock bag (18cm x 17cm “Sandwich” size)

will be adequate.

  1. Sample request is initiated.
  1. Adviser’s Company Purchase Order (Number)is initiated for the purchase from NMS - Farmer details are noted. (One Purchase Order per farmer will generate one invoice from NMS.)
  1. Samples are collected, SOF filled out (includes Company Purchase Order Number) andthe Barcodeis attached.
  1. The Sample Bagis sufficiently filled with the sample andthe same corresponding Barcode is attached.
  1. The SIFisfilled out andthe same corresponding Barcode is attached – Adviser retains the SIF.
  1. The Sample Bag and the SOF areexpress posted to thedesired Lab.
  1. SIF details arelogged intothe SoilMateapplication ASAP with the Barcode included as the key for matching lab results to farming data.
  1. Company Purchase Order details are finalized and entered ASAP into the company’s Electronic Accounting System. (Lab test reports will not be released until the company’s purchase order is matched to the received samples by NMS via the appropriate laboratory)

Barcode Label Sheets:

* On an ongoing basis, Barcode sticker blank sheets are available by ordering via the internet from Office Works product code for the Label Sheets is Q63-AV959018 and the Avery Product Code for these labelsis L7656.You may see it written as L7656-25 which denotes 25 A4 sheets. These labels are available from a large number of suppliers and will probably be able to besourced locally as Avery is a common label brand name. Stickers should be printed using a laser printer to reduce the possibility of the ink running. This is more likely with bubble jet and ink jetprinters.
