INTERN JOB DESCRIPTIONS

OFFICE/MUSIC LIBRARY ASSISTANT

The Office Assistant functions as the de facto Office Manager of Festival Hall, the company’s main office in Central City. It is the Office Assistant’s responsibility to make sure Festival Hall remains clean, stocked of all necessary supplies, and able to function smoothly every day. The Office Assistant works most closely with Director of Production.

The Music Library responsibilities require the intern to become familiar with the current materials held in CCO’s library. Be prepared also to copy scores for artists and stage management as needed, as well as doing occasional large copy jobs for the Music Director or the Orchestra Manager. The person in this position must be well organized in order to track the large number of materials that company members borrow over the course of the summer.

DUTIES:

Include, but are not limited to:

-  Create and collate materials for company welcome packets (approx. 100-150 packets)

-  Label staff and artist mailboxes

-  Create the enlarged calendars above the Production Scheduler’s desk

-  Set up the switchboard/front desk for arrivals

-  Laminate parking permits for principal artists, orchestra, and stagehands

-  Renew CCO’s group/business Denver Public Library card

-  Keep Festival Hall clean and organized

-  Make sure all forms are well stocked (package notification slips, package sign in/out sheet, grocery run sign-up, vacuum sign in/out sheet, etc.)

-  Make sure paperwork around the front reception/switchboard desk is all current (throwing away memos from last year, updating the company wait list, etc).

-  Place office supply orders when supplies begin to run low

-  Procure and track materials from both CCO and the Denver Public Library

-  Select and order opening night flowers for each show

-  Pick up mail every day except Sunday and Monday

-  Collect headshots from debuting artists and ordering photo frames for mounting

-  Hang previous years’ debut artist headshots

-  Collect information for and then generate the end of season contact sheet

-  Collect Festival Staffer job descriptions and compile them into a document

-  Work under supervision of Director of Production, Music Director and Orchestra Manager

DESIRED SKILLS:

-  Familiarity with Microsoft Office (Word and Excel)

-  Ability to work well under deadlines (both self-imposed and imposed by others)

-  Ability to work independently and complete tasks with minimal supervision

-  Excellent organizational skills

-  Excellent written and verbal skills

-  Ability to balance several tasks at once and be proactive

-  Ability to communicate calmly and professionally through verbal communication, emails, and written memos

-  Prior experience in an office environment

-  A willingness to learn and improve as an arts administrator

-  The ability to read music and a familiarity with vocal repertoire
