Facility Use Procedures Regarding Tournaments in the AC’s
1)Guaranteed Athletic Association tournament dates are as follows.
a)CGAA – second weekend in February each year (Feb. 14-15 – PHS, CGMS)
b)CGAA – second weekend in January each year – depending upon when the 1st falls (Jan. 10-11 – PHS, CGMS)
c)WAA – last weekend in January each year (Jan. 31-Feb. 1 – WHS, WMS, LMS)
d)WAA – first weekend in February each year (Feb. 7-8 – WHS, WMS, LMS, CGMS, 2nd HS)
e)ERAA – first weekend in November each year (Nov. 8-9 – ERHS, LMS)
f)ERAA – second weekend after Thanksgiving (Dec. 13-14 – ERHS, LMS)
The district will honor the established dates of CGAA, ERAA and WAA tournaments. No activities will bump these tournaments with the exception of HS events that absolutely cannot be held on another date (i.e. Band Festival). Associations will be informed of these dates as soon as the district is aware of them.
2)Walking track remains open at all times.
a)When the AC courts are closed to the public due to outside user groups as well as district user groups the track will not have spectators on it.
3)It is the goal of Community Education to close the Activity Centers to the public as little as possible. Currently community use is scheduled as M-F 6-10 PM and S-S 12-5 PM.
- Each high school basketball coach/booster club is allowed to run 1 basketball tournament/year that will shut down the activity center to membership.
- When a HS coach requests space for a tournament all revenue is deposited into a school district account. This will include entry fees, gate fees, and concessions.
- When a HS coach reserves space for a tournament and all revenue remains in the district there will be no rental fees assessed.
- All custodial OT will be the responsibility of the group putting on the event and will be billed accordingly.
- Anticipated tournament dates should be scheduled by May of the previous year.
- If a booster club chooses to run a tournament on behalf of the coach – and is keeping the revenue – rental fees will be assessed and billed accordingly.
Each association also has the ability to reserve a second high school for 2 of their tournament dates. These dates are not guaranteed, but the district has agreed to work cooperatively with the associations to allow this to occur when possible. These dates will not pre-empt morning sports practices. AD's can choose to cancel sports practices in these events – but are not required to do so.
