Job Title: Head of Volunteering

Salary: £36,661 to £45,503 per annum, depending on skills and experience.

Hours of Work: 36.25 hours a week with some travel and out of hours work

Would consider part time working- min 3 days

Reporting to: Director of Supporter Engagement

Purpose of the Role: The overall purpose of the role is to maximise the contribution of alumni and other friends to the University’s strategic priorities through volunteering. The University is well developed in securing charitable donations of money and has raised £110m towards the £150m targeted by Impact: the Nottingham Campaign. Our approach to volunteering is much less developed: we have volunteers fulfilling a range of tasks from helping with international student recruitment to e-mentoring but have no central processes to record this contribution or ensure adequate stewardship. We have 230,000 Alumni in almost 200 countries and wish to develop many more opportunities for them to contribute their skills and experiences to strategic priorities such as recruitment, student experience and employability. We see these volunteering contributions both as a valuable end in their own right and also as a means of ultimately increasing financial donations by engaging stakeholders more deeply in our work. Our ultimate vision is to have the same number of alumni and other friends volunteering as donating financially (currently c3000).

Main Responsibilities / % time per year
1. / Be the champion of volunteering throughout the University: maintain an understanding of best practice in the sector, ensure that successes are celebrated through internal and external communication channels (eg Alumni magazine), meet with senior university and department staff, present at team meetings / 15%
2. / Develop new volunteering programmes: work with departments across the University to develop opportunities for large numbers of volunteers (50+ volunteers per task) to contribute to strategic priorities such as recruitment, student experience and employability. Formalise these in task descriptions and work with Communications and Alumni Relations teams to recruit volunteers to the tasks. Evaluate the success of new programmes after 12 months. / 30%
3. / Put in place a robust infrastructure that demonstrates the value of volunteering and assures volunteer satisfaction: to include formalisation of task descriptions; processes for recruiting volunteers; processes to record which supporters are performing each task; reporting of overall numbers of volunteers and the time and notional value of the contributions; compliance with regulation and best practice for volunteer management; measurement of volunteer satisfaction with their volunteering experience

4. / Create a strategy for the stewarding of volunteers and take the lead on delivering the strategy in conjunction with the Communications and Donor Relations teams. This may include the role holder copy writing and/or delivering events. / 15%
5. / Personally manage volunteers as needed. E.g. task manage volunteers who are performing tasks for the Campaign and Alumni Relations Office, as needed. Manage escalated issues of volunteer satisfaction or performance. / 15%
6. / Maintain contact with managers of staff and student volunteering programmes to ensure co-ordination / 5%
7. / Other duties as may reasonably be required, including line management of placement/temporary staff as required / 5%

Knowledge, Skills, Qualifications & Experience

Essential / Desirable
Qualifications/ Education / Either degree (or equivalent)/relevant formal training
Or:
Proven track record of extensive relevant work experience, demonstrating practical and theoretical knowledge of volunteering. / Degree or equivalent qualification.
Professional qualification in one of these areas: fundraising, marketing, communications, public relations or events management.
Skills/Training / Evidence of strong influencing skills and the ability to inspire senior management face to face and in writing
Well-developed strategic thinking skills with a methodical and structured approach
Strong interpersonal skills and the ability to manage relationships with high profile volunteers who may also be major donors
Proven ability to prioritise workloads, and utilise good organisational and time management skills to deliver on multiple activities simultaneously.
Evidence of a positive, enthusiastic and creative approach, with the drive and tenacity to deliver new initiatives and improve existing programmes with minimum supervision.
Proven ability to collaborate with a wide range of colleagues up to senior levels (eg academic staff, professional service departments, communications colleagues, database team)
Proficient IT user – in particular large databases, Microsoft Office and e-mail. / Knowledge and experience of Raiser’s Edge.
Experience / Substanial experience of managing volunteering programmes in the charitable or education sectors. / Clear evidence of step change increase in the level of volunteering contribution and developing new opportunities for significant numbers of volunteers
Experience as the champion of volunteering within an organisation
Statutory/Legal / Knowledge of volunteering regulation and best practice
Knowledge or experience of handling sensitive data and an understanding of Data Protection legislation. / Full UK driving licence

Decision Making

i) taken independently by the role holder

As the Campaign and Alumni Relations Office’s lead on volunteering the role holder will have considerable autonomy:
Relationship management of task-owning partners for volunteering programmes (often staff at a senior level)
Relationship management of high profile volunteers
Day to day liaison with task managers
Development/approval of written communications for volunteers
First point for resolution of performance issues with volunteers or complaints from volunteers
