Minutes of the Board Meeting held on Tuesday 12th February 2013

at 3pm.

2. Approval and Matters Arising from Minutes of Previous Meeting DG

Minutes of last meeting were read and approved.

Actions carried over:

Welcome Project: Air CraftStewards and Board members will be targeted next.

Action Board: to attend course together on the morning of Tuesday April 9th.

Action DH: to email Air Craft Stewards. Ongoing.

New Articles of Association etc have been sent to BT

Action JT: to report back. Ongoing

DG suggested Michael Bishop should be approached as a possible Patron, this was agreed by the Board.

Action DG: to contact Michael Bishop. Ongoing.

The Board agreed that we should insure our equipment. To do this we need to get a quick listing of the equipment which requires cover.

Action DG: to nominate a member to carry out this task. Ongoing.

Action JT: to investigate the costs to insure our equipment (not buildings). Ongoing.

SP proposed that we compile a list of local and major companies who could be approached for sponsorship of the British Airliner Collection (BAC).

Action All: to send SP list of companies. Ongoing.

Action SJ: to look at the mechanism for nominating people for the New Years honours list. Ongoing.

3.Safety Update SJ

DAS Health and Safety procedures require immediate attention to be brought up to date with current legislation.

Items to be looked at:-

· If required appoint a Safety Advisor to replace David Sims Baker.

· Review and update all Risk assessments.

· Review and rewrite all safety policy documentation.

· All safety training requirements to be reviewed; including equipment and tools. Training records for all volunteers to be created.

· Regular safety inspections to be instigated.

· Roles and responsibilities for health and safety requires clarification.

BH suggested that we seek advice as to whether we are complying with IWM Health and Safety policy. (ask Graham Morris )?

Regulations regarding driving on site and working certificates for forklift trucks to be investigated.

Zurich Insurance have asked for inspections for 3 Air Receivers at Das workshops.

Action SJ: to progress this

4. Suggested rates for opening our Airliners DG

DAS were asked by the Caterers ELIOR for a price list to open our aircraft during catering events at Duxford.

The Chairman formulated a document in reply containing the following information

for the consideration of the Board.

The Society own the following 4 airliners located in Air Space and are happy to open them outside normal museum hours in conjunction with corporate or private events. Concorde, Comet, York and Hermes ( fuselage only ).

Customers can choose to have any combination of airliner open and there is little or no restriction on the number of people who can walk through them and look at the various displays.

If specifically requested we will allow entrance to the cockpits but it should be noted that it is only possible for some 30 people per hour to visit each cockpit due to space restraints and access limitations.

Prices will be:

Concorde £200, 2 aircraft £300, 3 aircraft £350 and 4 aircraft £400.

The Society own another 7 airliners located opposite hangars 4 and 5 and are willing to discuss any customer requirements to open these on a similar basis although this would be restricted to daylight hours in the Summer.

This was approved by the Board.

5. FinancialUpdate JT

Attached are the usual profit and loss statements for Tuesday's board meeting.

As we have only progressed through one month of 2013 there is little to report other than the following:

DAS

Membership subscriptions are coming in nicely.

Book sales have had atremendous start to the year with a £1,000 sale.

The interest relates to the first year's receipt from the 18 month term deposit of £85,000 with Close Brothers.

The expenditure has been upset by the payment of two annual insurance premiums. Combined liability (employer's and public liabilities - recently quite useful as it will meet a current claim - accounted for £2,067 and charity trustees cover amounted to £973.

Miscellaneous costs include an item of £450 paid by DAS in January but I have not yet seen an invoice for this. The amount has been posted to miscellaneous expenditure on a temporary basis

DAST - very little to say other than the airshow cost of £670 relates to a purchase of visitor guides.

6. Military Vehicle Update BH

15 members visited Kevin Wheatcroft private collection, a further visit has been offered.

The IWM’s ZSU 23-4 has been finished and taken from the workshop.

One of the 432’s has been brought into the workshop for servicing and repairs.

The Citroen car has been sent for scrap, the necessary paper has been completed.

IWM Projects CA1 Re-assembly started,following on from engine work.

Field Kitchen progressed ( both of these wanted by IWM for Sept. 2013 )

We are getting a third quote for remodelling the Running Area then we will book the contractor to do the work subject to approval of the costs by the Board.

The IWM has requested that we help them with moving items from building 104 to H5, H4, H3 and LWH.These will involve us in moving some items already located in the LWH.etc

We haven’t planned our Vehicle Demos and Rides dates yet.

Annual Military Vehicle Show planning progressed with the IWM

Our Annual round of Ground Handling – driver Training commences on 3rd March followed by the 17th and 24th March. Fire Training will take place in April.

FOD Open Turret Day we are assisting with this on the 3rd March although as I understand that as of this date there are onlt 23 FOD members attending. BH

7. Operations Update DH

Ambassador

Work on the interior trim of the aircraft is going well. Although it won’t be completed the aircraft will be available for the public to view at the first Airshow

Bob Stewart has set out a plan for the electrical wiring of the aircraft.

The flight deck restoration is currently making slow progress due to particular volunteers not being available on a regular basis.

We are working on the remaining flaps and tailplane assembly

BAC1-11

We have no progress on the re-paint despite DG contacting BA.

Now that a new Airfield Manager has been appointed, I will make contact and discuss Hangar space for the possible re-paint

I received a call asking if we were interested in participating in an event to mark the 50th anniversary of the first flight of the BAC1-11. Although the main event is to be held at Brooklands, the organisers want to visit the Duxford aircraft at some point

Herald

We need to make a decision on the future of this aircraft. Although the cabin interior would not need major investment, the wings and fuselage exterior would require substantial time and funds for full restoration.

Comet

The Comet is closed at the moment due to H & S concerns over the Strikemaster aircraft suspended above the Comet. The Strikemaster is going to be lowered to the ground week commencing 25 Feb, necessitating moving the Comet back around 10ft. IWM staff will move the Comet, once we have confirmed there is adequate pressure in all the tyres.

All the seats have been removed from the forward cabin for stripping and re-furbishment in the workshops

Britannia

The floor panels inside the rear door are being replaced

Viscount

- We are modifying the airstairs so that the aircraft can be opened by an individual steward. (Currently it needs two people to move that Airstairs in and out). This will mean that the aircraft can be opened other than at airshows.

General

Chris has submitted all the paperwork to IWM for cleaning the aircraft in Airspace. The plan is to start with Concorde and Hermes, then move onto the York. The Comet clean will be dependant on the Strikemaster situation. We have now indicated a window of 2 weeks to IWM starting on 25 Feb to avoid half-term but, of course, it is dependant on volunteers availability and putting all the necessary safety measures in place.

We had a visit from Mike Cardy, whose company make and supply Air Stairs. He is providing quotes for new stairs for the Ambassador and the BAC1-11.

We have been fined by DVLA for non-notification of the transfer of the Iveco van. Apparently it was not exported to Nigeria and someone in UK tried to register it.

The Yard has been cleared of all vegetation and a new fence erected between the containers and the airfield boundary. Concrete bases have been laid to allow container to be moved next to the brick buildings.

A review of interior displays has started. David Norman is leading the project with Concorde being the priority

The small tug has returned from MV section after repairs and repaint but is currently experiencing gearbox problems. The Tugmaster unit has now gone to MV section for overhaul and repaint.

We are organising training during the next couple of months for Chris and volunteers on Platform operation, scaffolding erection, fire safety and first aid.

Airshow and Stewards Report

We are concerned that a number of stewards have not done shifts for some time and we will be contacting individually all those who have not attended for the last 3 months to see if they still want to continue. We know that some stewards are frustrated by the lack of aircraft to open during the winter, particularly at the moment with the Comet situation.

After several request from Stewards, we have convened a Stewards meeting on Sunday April 7th to discuss any concerns and plan a strategy fo the 2013 Airshow season.

We opened Concorde for a corporate event in January, which went very well. Myself, Arthur and two of the stewards, Chrissie and Linda, opened the aircraft for just over an hour.

8. Marketing Update SP

Ebay back on with interest being shown on 5 Concorde items.

SP believes the interest is being shown by the same person who purchased the Concorde nose and who is apparently building a Concorde Museum. SP will invite him to Duxford in the Spring and show him our other Concorde items with a view to a sale.

Another £700 was made in a book sale in addition to the £1000 in JT Financial Report.

Plan to carry on Airshow Stalls

SP requested funds to buy tent for Stall from Internet. 3m x 4.5m £450 Board agreed.

SP bought 130 pens with DAS and phone no. printed on £100

Box of Brochures given to George Thomas to put in cupboard in Concorde

Woven Airliner Collection badges were deemed too expensive with limited sales.

9. Membership Matters IC

IC reported that 54 new members had been recruited during the year.

A Membership Recruitment Summary was circulated to Board Members.

The next two IWM Welcome Days are Sunday 17th February and Tuesday 26th February.

I’m doing the 17th Interviews with Nicola Hughes would anyone be available for the 26th interviews ?.

The IWM Welcome Days will now include a visit to the Ambassador hosted by Chris Giles.

Chris Giles will meet NH at the Ambassador at 11am on 26th February

DH will do interviews at Nicola’s office at 1.30

2013/2014 Renewals

So far so good, there is a steady stream of Membership renewals requests coming in. No problems with the 12 visit attendance criteria, two exceptions have been granted

10. Office Update JB

It was unanimously agreed that the canteen would continue do our own lunches at Airshows.
As the cakes are very generously donated free of charge it was felt that we should take this cost into account as our profit is not a true reflection on our actual costs.
It was agreed that we should cost this exercise out and have a book cost shown so that we can recharge(as we do) to security(IWM) and FoD the correct amounts for a lunch.

11. Any Other Business

Airshow Security. AG is retaining responsibility for Airshow security carried out for the IWM. Some issues regarding his volunteers need to be addressed before the season starts.

Apologies from DG for next Council Meeting.

Historic Duxford Opening 23rd MarchDG invited.

IC suggested fundraising specific to work to be done i.e. paint this ?aircraft.

SP is in process of begging letter for cash, materials, whatever, to various air related companies e.g. Monarch ( Britannia ).

CG now has a mobile phoneto enable better contact with Board members only.

DH suggested that long serving members who are taken ill be sent a get well/goodwill card. Ken Vigus aged 86 was mentioned. Board approved.
