2012 APPLICATION FOR ADMISSION – PRIMARY & HIGH SCHOOL
Please read through carefully and note that until we receive all the requirements listed below, this application will not be processed.
a) Complete all questions and both parents to sign this confidential application form.
b) This page and the Conditions of Entry detailed information on page 8 are intended for your records and should be retained, not returned with your application.
c) Application fee - R350. This is not refundable.
d) Certified copies of your child’s 2 most recent full school reports, including 1 end of year report.
e) Certified copies of any/all remedial and/or psychological assessments (include from younger years).
f) A certified copy of your child’s birth certificate/identity document/passport.
g) A recent identifying photograph of your child.
h) Optional: letter of motivation, should you feel this to be beneficial/your situation warrants further elaboration.
Please note that any relevant non-disclosure will result in nullifying this application.
Application Process:
1) Applications are pre-assessed and, after discussion, are considered for interviewing. Acceptance is not guaranteed and is subject to there being a vacancy and successful interviews with the Class Teacher/Guardian and a financial interview with the office, including a consumer credit check. You will be advised if/when interview/s can be arranged accordingly - or your application will remain waitlisted.
2) Your child will be required to attend the Teacher interview with parent/s.
3) Payment for the costs of any further testing and/or assessment required by the school may be at an extra cost.
4) Acceptance, with a routine term’s probation, will be confirmed after interview and subsequent discussion with relevant Faculty.
5) If successful, a set of Acceptance of Place and Conduct of Behaviour forms will be issued for completion, to be returned before pupil commences.
6) A deposit of R2,750 for Primary School and R3,500 for High School will be payable on acceptance as a contingency fee prior to commencement, as well as the first month’s school fees. The deposit may not be refunded in the event of your cancellation prior to commencement, subject to date and circumstances. It will however be refundable at the end of the pupil’s period of enrolment at the school, on written application and interest kept by the school.
7) Transfer and financial clearance certificates from the previous school are required prior to entry.
8) Study permits, or proof of application, will be required prior to entry of all non-South African pupils.
CONDITIONS OF ENTRY – detailed information to be retained by parents
FEE POLICY
The financial liquidity of the Constantia Waldorf School is dependent on the prompt payment of school fees by parents/guardians. Fees are subject to an annual increase and all monthly fees are to be paid in advance on or before the 2nd working day of every month. Interest on advance payments will be kept by the school. The Board of Trustees of the Constantia Waldorf School reserves the right to make adjustments to the school fees and related charges from time to time, as it may deem fit.
METHODS OF PAYMENT
1. Monthly Debit Order payments over 12 months, January to December 2012.
2. Monthly Electronic Funds Transfer or Stop Order methods of payments, may only be done over 10 months (January to October 2012).
3. Your child’s full name and account reference number should appear on the deposit slip and the details faxed to us on 021 794 1105 or emailed on , so that we are able to identify your payment.
4. We prefer not to accept cash at school.

EARLY PAYMENT of FEES
A 3% rebate is offered for fees paid annually in advance, before 31 January 2012 and interest on fees paid in advance will be retained by the school.
ADMIN CHARGES
1. Failure by parents/guardians to make fee payments by the 2nd working day of every month will result in a late payment charge of R250 per month.
2. Repeated late payments will not be tolerated
NON or SHORT PAYMENT OF MONTHLY/TERMLY/ANNUAL FEES – POLICY and PROCEDURES
1. Outstanding fees of the previous MONTH/TERM/YEAR will be handed over to the attorneys of Constantia Waldorf School for collection. Parents/Guardians will be liable for payment of costs on the scale as between attorney and client, including collection charges.
2. Parents/Guardians will be required to immediately remove the children from school.
(Only in exceptional circumstances, and at the discretion of the Board of Trustees in conjunction with the Debtors Mandate Group, will a pupil be allowed to enter a new term if any portion of the fees of the previous term is unpaid.)
WITHDRAWAL NOTICE If the pupil is accepted, a routine two terms probation period automatically applies. Should the pupil remain in our school thereafter, a minimum of one clear term’s written notice (3 months) of withdrawal and request for the refund of the acceptance deposit must be given to the school if the parent wishes to terminate this contract for any reason and to withdraw the pupil prior to the final exit examination, with the exception of the end of Primary School when 2 term’s written notice applies. If such notice is not given, a full term’s fees (3 months), at the rate applicable for the next term in which the pupil would have been, shall be paid in lieu thereof. Likewise, if the school elects for any reason to terminate this contract, then it may do so, on giving the parent a clear term’s written notice (3 months) of its decision to terminate the contract, at which time the parent must withdraw the pupil. A CEMIS transfer certificate will issued on the pupil’s last day of school or when the fee account has been fully settled.
Admission from Primary to High School is not automatic, and is subject to a term’s probation.
PARTICIPATION, SUPPORT It is important to maintain regular contact between parents and teachers. General information is emailed through our weekly newsletter “The Grapevine”, keeping families up to date with happenings at school. You will be expected to attend all termly Class Parent evenings, talks, the Annual General Meeting and festivals so that you can meet the teachers and learn more about the children and their education. From time to time we have introductory courses in Waldorf Education and parents are asked to attend, if they have not previously done so, in order that our methods and expectations can be explained. The school holds at least one major annual fundraising event and families are expected to play an active part in all such events. Parents are held responsible for their part in supporting our expectations, behaviour code and punctual attendance of their children at school on a daily basis and for all school functions.
If your child is accepted, a CEMIS transfer certificate and Financial Clearance certificate must be obtained from the previous school and handed in before the pupil’s first day at our School. Failure to comply will result in the pupil having only a limited visiting status until this requirement is met, as full registration is not possible without the transfer certificate.
