District Directors of Instruction Will List the Instructors Assigned to a Class on Their

District Directors of Instruction will list the instructors assigned to a class on their clinic request form. Instructors will receive assignments to classes through game officials. When you receive an e-mail with your assignment, log onto ohnreferees.gameofficials.net and CHANGE IDENTITY to instructor. Once you are on your instructor identity then you should click on MY COURSES. At that point you will see all of the courses to which you have been assigned. You should click on the green box to accept your courses.

Once you have accepted a course you may see the participants in a course. Click on the green manage on the course you wish to view. This will now bring up the class information at the top of the page and the class roster at the bottom. You have a couple of nice options at this point. If you click on Send Group E-mail a window will appear with the e-mail addresses of all participants registered. You may either copy and paste these addresses into your e-mail program or if you click on either Standard Format or Alternate (Comma Separated) it will access your default e-mail program and place the addresses in the program. This would be a great benefit to announce room changes, tell the participants to bring a lunch or many other messages.

You may also click on Printable Roster to generate a roster of the participants. This roster will give you the name and grade of all participants along with their phone number and whether or not they have prepaid for the course. (It will also give their scores and if they attended each session after following the directions on batch edit below.)

The item most instructors will next use is Batch Edit. Once you click on this it will give you the roster with a column for each of the online (if applicable) and class room sessions. There is a quiz associated with each of the online sessions and the grade of the online session will be listed in green if passing and red if not. The instructor should now check the box next to any passing online sessions and the in-class session if the person did actually attend the physical course. There is an easy shortcut for this. At the top of each column you will see the word ALL and NONE. By clicking on the ALL it will put check marks in that column for each referee. You can then go and just uncheck any that did not pass or did not attend the session.

The next item is for the written exam. Although the grade will be shown if it was taken online, the instructor should still transfer the grade to the written column. This is easily done by going to the top of the column again. You will see the shaded area with the words “Copy online Scores” on the left. Go to the column that represents the written test (Session 4 on re-cert classes). Click on the green left arrow and all of the scores from that session will be transferred to the written test column.

On Novice, Bridge or any other course where the test is given in person, this column is where you will enter the test score that the person took the class at the clinic. Scores should be entered as a whole number that reflects the percentage of items correct.

There are two columns for Pre-Pay and Balance to record the payment for the class. For those that prepaid the full amount there is nothing else you must do. If you collected money at the clinic then you must enter the amount collected in the Payment Received Column and also enter either “CASH” or the check number in the next column. You may just click on the arrow on the Balance column and it will automatically transfer the amount due to the payment received column.

You are now ready to click on SAVE Roster Details at the bottom. This would normally be all an instructor has to do for the class but I am including the instructions to close a class so you are familiar with them. Normally the District Referee Administrator will be the person to close a class but they may delegate this to the instructor.

Before getting into the instructions for closing a class, I want to point out something on the test scores. The score listed on the Batch Edit screen will be the highest score the person achieved on the quiz at the end of each session or the written exam. A person is only permitted to take a written test twice but has unlimited tries on the quizzes. If you want to see if a person has taken the test more than once then you may click on Review Tests which is located at the right hand side of the top bar. This will bring up a screen with all of the test scores for each module. It will give you the score for each time the person took the module, when they started and when they finished the test. The list is sorted by module and then alphabetically within that module. The item you will normally be interested in is the Grade 8 or Grade 9 exam. You may see the score that the person achieved on each attempt. If they have taken the test twice and did not receive a passing score on either attempt, they must attend a special make-up class to review the material on the test and take the test in person.

CLOSING A CLASS. Once all the course results have been entered then the class may be closed. Clicking on Close Class will bring up a class roster again but with a couple of added items. The first thing one will notice is that the names appear in red or black. Those in black have met all requirements but the ones in red are lacking something. This could be not having attendance at the online session or the in-person session checked. It would also reflect less than a passing score on the test or if money is still owed. You will have to review the red names to see what is missing. If you feel that all requirements have been met then you should put a check in the Met Reqmt column. You should also put a check in the Given Badge column if the person has received a badge. There is a shortcut for this at the bottom of the page. You will see “Mark all Requirements as Met” and “Mark all badges as given” in green. Clicking on these will put a check mark for ALL referees and you may then just go and uncheck the ones in red.

On classes that permit more than one grade to attend, there will be another column that shows the grade level that the person should be registered for 2012. This should not be changed without first consulting Barry Brooks.

Please do not check the All Requirements Have Been Met if the name is in Red. This creates additional work during the approval process where the administrator, Chapman or Brooks, will have to click on the individual and go back and see which requirement has not been met. These records cannot be approved unless the referee’s name appears in Black.

Once this has been accomplished you are now ready to save the roster details. DO NOT UNDER ANY CIRCUMSTANCES CLICK THE BOX THAT SAYS CLOSE CLASS AND SUBMIT NAMES FOR REGISTRATION. Instead, check to make sure that box has not been checked and then click on SAVE Roster Details. I want to emphasize again that no one has the authority to close the class and submit the names for registration. Clicking this could suspend your privileges in the system!

Once the class has been closed and is ready for submission to USSF, the District Referee Administrator should send me an e-mail with the class number, type of class and state that the class is final. At that point, I will remove anyone from the class that did not meet all of the requirements and then submit the names to USSoccer.

REMOVING SOMEONE FROM A CLASS – Persons can only be registered by completing a class. We will get persons that sign up for a class and are not able to make the in-class session. This could become very confusing if we don’t establish a firm procedure. First, let me say that we cannot transfer persons from one class to another. The system will not allow it! So if a person fails to show for the in-class session we have to remove them from that class and they have to register for another class. Any moneys that they paid will go into a suspense account and will be automatically applied to the next class that they register to attend. However, their test scores and attendance at online sessions will be lost. They will have to go through the modules again and take the exam again.

On the practical side, if someone cannot make one class and are able to make another in the same district within a reasonable amount of time then you can always go back and show their attendance at the first class. But you will not be able to close and finalize a class until everyone on the roster has been marked as met all requirements.

I am sure that there will be other questions or problems that arise. Our procedures will be flexible and subject to change. So far I think that the system will be a tremendous benefit and reduce the amount of time and effort required to register our referees.
