DIS Congress Service A/S is a highly specialised company founded in 1952, specifically to provide conference management services. For more than 50 years DIS Congress Service has been managing successful events for Danish and international organisations, associations and companies and has been involved in more than 2,500 events throughout the years.

The portfolio of successful, international conferences managed by DIS ranges from ROTARY International Convention in 2006 with more than 15,000 participants, via international conventions for scientific associations to confidential, international/national meetings with just a handful of participants. In 2002 DIS was appointed official accreditation and hotel bureau during the Danish EU presidency.

Through our membership of IAPCO (International Association of Professional Congress Organizers) and MPI (Meeting Professionals International) we ensure an ongoing update of our knowledge in order to provide the best professional solution for our customers.

To contemplate organising and hosting a conference requires an organizing committee with vision and broad objectives. The practical organisation requires co-ordination of – and attention to – a myriad of small details and this is where DIS offers you comprehensive expertise:

FROM START TO FINISH, WE TAKE CARE OF YOUR EVENT

The co-ordination and production of bidding material – the first step towards achieving your goal and, after a winning bid, the progress to a successful conference.

Venue contracting

Including negotiation the terms and conditions with the venue selected and contracting the facilities for your conference.

Project management

The on-going consultancy and planning, the management and co-ordination of all conference related activities, production of announcements, programmes and other promotional material, negotiating and contracting of all outside suppliers – and much more.

Budget preparation and planning – Financial control

Based on a wide analysis of the conference requirements, our conference budget plan will provide excellent guidelines and an effective tool for the organisation committee. Control and revise of the budget, payment of the expenses after approval by the Congress Committee are well known functions for us. No loose ends are accepted.

Handle the cash functions such as collecting congress fees from participants, credit cards, and banking facilities is also a part of our job as well as preparing a financial report to the Congress Committee.

Participant administration

Including the registration of conference participation and all other relevant delegate details according to the registration form, prepared in co-operation with the Organiser, allocation and confirmation of hotel accommodation, delegate account management, conference documentation etc.

DIS is using an extremely modern online registration system - Eventure.

Accommodation

Negotiation of block reservations at hotels that offer accommodations to match the profile of the expected delegates, management of all delegate hotel deposits. We take the responsibility for the contract, payment and communication including cancellations of rooms with the hotels.

All reductions negotiated in relation to the standard price are to the benefit of the delegates.

Secretariat of the Conference

DIS acts as the secretariat of the Conference before and through the Conference.

Professional partners

DIS co-operates only with professional partners in matters of AV-equipment, interpretation, printing etc.

Social events

Including the creative planning, management and co-ordination of social events, negotiating and reserving the selected venues for social functions, management and operation of technical/professional excursions, tourist and post conference tours.

Exhibition management

Negotiation and contracting of facilities suited to parallel exhibitions, marketing and promotion of exhibitions, sale and administration of exhibition space, exhibitor and supplier negotiations and, of course, accounts management, all of which is taken care of by specialist managers and staff.

Abstract registration and management

DIS offers a complete abstract management service, tailored to suite your requirements and budget, based on unique software, developed and continuously updated by PARTHEN.

Confidentiality

Participant information provided to DIS is considered confidential and will be treated as such. No information will be passed to a third party without the consent of the Organiser.

Data Security

DIS uses a closed circuit computer system and back-ups of registered information are made every 24 hours.
