JOB SUMMARY

This position is responsible for providing administrative and clerical support to the Office of the Clerk of Courts. This position will process and file liens, along with other miscellaneous duties as instructed; assist attorneys and the general public with questions; perform data entry and reporting.

MAJOR DUTIES

  • Assists attorneys and the general public with questions about liens and UCC’s; accepts and processes various related legal documents; makes copies and certified copies.
  • Answers the telephone; provides information as requested.
  • Indexes and cross-references liens; inspects liens for accuracy; copies liens, stamps copies, enters lien data into the computer, maintains lien books; files and records liens as needed.
  • Mails original liens to attorneys, banks, or homeowners as required.
  • Prints proof sheets and indexes.
  • Process all UCC Filings.
  • Process notary public applications and renewal forms.
  • Files Search Warrants.
  • Record Trade Names.
  • Receives monies for filing and issues receipts.
  • Transmits daily computer entries to State Clerks Authority.
  • Performs other related duties as assigned.

KNOWLEDGE / SKILLS / ABILITY

KNOWLEDGE OF:

  • Filing, docketing, and indexing systems for liens, UCC’s, and financing.
  • Legal terminology and reporting procedures for liens.
  • State laws and guidelines governing Superior Court.
  • Various software programs including Microsoft Office, ICON, and other software commonly used in Clerk of Court offices

SKILL IN:

  • Operating modern office equipment, such as a computer, calculator, facsimile machine, and copier.
  • Filing and maintaining records.
  • Verbaland written communication.

ABILITY TO:

  • Read, write, and perform basic mathematical calculations.
  • Effectively present material either orally or in a written format.
  • Establish and maintain an effective working relationship with fellow employees, attorneys, legal secretaries, law clerks, surveyors, real estate personnel, property owners, other court personnel, and the general public.

  • Contacts are typically co-workers, county employees, attorneys, legal secretaries, law clerks, surveyors, real estate personnel, property owners, other court personnel, and the general public.
  • Contacts are typically to exchange information, resolve problems and provide services.

ADA MINIMUM REQUIREMENTS

Scope of Performance: The purpose of this position is to maintain complete and up-to-date records of real estate transactions. Successful performance helps ensure the maintenance of accurate and accessible real estate records for the county.

Physical Ability: The work is typically performed while sitting, standing, walking, bending, reaching or stooping.The employee is frequently required to lift light objects up to 10 pounds regularly and 20 pounds occasionally.

Environmental Factors:The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

The Clerk of Court assigns work in terms of somewhat general instructions. Work is reviewed for accuracy and compliance with procedures.

MINIMUM QUALIFICATIONS/CERTIFICATIONS

  • Applicant must have ability to read, write, and perform basic mathematical calculations; high school diploma or equivalent is preferred.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with two to four years of experience in related job duties.
  • Microsoft Office proficient.
  • Possess a valid Georgia driver license and a satisfactory Motor Vehicle Record (MVR).
  • Applicant must be able to pass a background check and drug screening.
