Role Purpose
Provides a professional and welcoming reception service at Catalyst’s head office, and assists in the provision of an effective one stop housing management and advice service, working in a team with other FM Team members
Key Accountabilities
Ensures that a presence is maintained on reception at all times, telephone calls are answered or returned promptly and that all visitors and calls are dealt with in a professional and discreet manner.
As the first point of contact for members of the general public,tenants and Catalyst colleagues, deals promptly with rent queries, provides assistance with housing benefit claim forms, offers advice as appropriate, liaises with housing officers, and records the return of keys.
Administers all systems available to support the provision of advice to callers.
Administers the Catalyst electronic access control system, programming and issuing passes with the guidance of the Corporate Facilities Manager, taking and storing photographs of staff, contractors and visitors.
Administers the bookings of central meeting rooms and functions, ensuring appropriate communication is made with all parties involved.
Responsible for the proper handling of credit card and cheque payments received.
Ensures that the reception area and space occupied by the reception team is professionally and immaculately presented at all times.
Provides cover switchboard duties as required.
Carry out monthly Health & Safety Inspections within Ealing Gateway.

Proven experience of reception work and advice giving.

Relationship Management
Works closely with other members of the FM Team including reception colleagues.
Provides the initial and often lasting impression of Catalyst to visitors, tenants, contractors and potential colleagues, which has an important impact on all parts of the organization.
External liaison limited to immediate contact with service users.
Staff are responsible for their own Health & Safety, ensuring a safe working environment for colleagues
