INTRODUCTION

The Project Co-ordinator moves projects forward with an eye for efficiency and efficacy. They work collaboratively with others in the department to ensure the success of the project is seen in regards to scope, budget, cost, and timeliness. They have a particular focus on assessment and evaluation initiatives.

NATURE AND SCOPE

Assessment is a fundamental approach embedded in student affairs. The Project Co-ordinator is able to provide assessment support through their own knowledge, the resources they provide, and through the collaborations they develop with those in the department, those in the University, and those outside the University. Usingproductivity, leadership, evaluation and strategic thinking skills, the Project Co-ordinator has the competency to complete assessment plans, run assessment activities, and motivate staff to work on assessment themselves. Assessment activities might include needs analysis, campus climate assessment, learning outcomes, predictive analytics, national review studies, CAS (Council for the Advancement of Standards in Higher Education) Standards Self-Assessments, and satisfaction surveys.

The Project Co-ordinatoris responsible forimplementingmultiple work packages simultaneously in the iterative progress within various projects.As per the Project Management Body of Knowledge (PMBOK), projects are performed by people, are constrained by limited resources, are planned, executed and controlled, and are temporary in nature with both a definite beginning and end. Projects in Housing and Residences develop as a result of the Senior Management Team wishing to respond to a need for a product, service, or outcome that cannot be met through normal operational measures. The project co-ordination responsibilities require approximately two thirds of the incumbent’s allocated time, with assessment program support driving the other third.

The incumbent is responsible for providing consistent and timely updates on projects to the Manager as well as key stakeholders in respect to the management of a projects’time, budget, quality, scope, constraints, stakeholder input,risk, integration into operations, contracts/procurement, and staff resource allocation.The Project Co-ordinator must apply project management techniques to reduce scope creep, improve positive professional relationships and staff culture, and optimize resource allocation.

It is essential that the Project Co-ordinator works effectively with others in the department and the University. Projects cut across functional unit boundaries of the organization. Therefore the incumbent must effectively negotiate and build consensus with stakeholders and management to ensure successful outcomes of both assessment projects and other projects.

POSITION REQUIREMENTS

Education:University degree or equivalent experience preferred.

Experience:

  • Required:
  • Experience implementing change in an organization while meeting the needs of stakeholders.
  • Exceptional skill in time management and planning.
  • Experience using analytical judgment and applying conflict management principles.
  • Proven ability to adapt and work effectively within a variety of situations including changes in job demands; changing priorities or competing priorities.
  • Assets:
  • Experience in at least one area of expertise (assessment, business analysis, project management, performance metrics, data analysis).
  • Working knowledge ofProject Management Body of Knowledge (PMBOK) principles or equivalent Project Management certification.
  • A master’s degree in a relevant field such as Higher Ed, Student Affairs Administration, Business Administration, Education, Assessment, etc.
  • Proven ability to understand complex situations, tasks or problems, analyse them using a systematic approach, identify patterns and connections between situations that are not inherently obvious, and solve problems.
  • Public speaking skills.
  • Skilled at working with numbers, interpreting, communicating and reporting data.
  • Proven people management and human resources knowledge.

Technical:MS Word – intermediate. Excel – advanced. PowerPoint – intermediate.

Other –Intermediate EBI, SAS, Cognos, Visio, MS Project, MS Access, Evernote, are assets.

Interpersonal Skills:

They have excellent interpersonal, written and verbal communication skills, along with a professional manner, effective probing, problem solving and sound decision-making skills. The Project Co-ordinator is solution oriented, approaches all aspects of the role with a student-centric vision, is able to drive their analysis to identify root causes, facilitates to bring opinions and comments forward, is a strong communicator to understand and interpret the meaning, purpose and importance of information, writes logically and efficaciously and is able to influence individuals.

Level of Responsibility:

This role has specialized work with minimal supervision and provides leadership in their area of expertise. They solve problems related to their area of expertise (assessment, business analysis, project management, performance metrics, data analysis, etc.) and make recommendations on projects impacting Housing and Residences processes.

Decision-Making Authority:

The Project Co-ordinator has a low to moderate level of decision-making authority, which varies depending on the project.

Physical and Sensory Demands:
This role in an office setting involves minimal physical demands and moderate sensory effort resulting in slight fatigue, strain, or risk of injury.

Working Environment:

Minimal exposure to conditions typical of a position exposed to stress and pressure associated with management-level responsibilities. Individual must be able to manage concurrent assignments and prioritize workload in order to meet deadlines. Infrequently, some assessment activities may require meeting with students outside of regular business hours, such as weekday evenings.
