Performance Planning

The Leave Management Specialist reports to the Director of Employee Health and is responsible for timely and efficient operation of all leaves of absence. Ensures compliance with all government regulations, including ADA, FMLA and ensures that program objectives are in line with the overall goals of the organization. The Leave Management Specialist supports and has overall knowledge of the department’sdata repositories. Educates and counsels managers and employees on all leaves of absence, including Family Medical Leave Act regulations and requirements.

Key Responsibilities/Essential Functions

  1. Oversees and administers FMLA, and other leaves of absence in accordance with Policy and government regulations
  2. Serves as a resource person for managers and employees on FMLA and leaves of absence(LOA)issues
  3. Works in collaboration with Human Resources to ensure consistent application and compliance to each LOA request, including potential ADA issues or accommodations
  4. Prepares appropriate documentation for Family Medical, Hospital, Educational and Military Leave to ensure compliance. Follows-up with employees to keep them apprised of leave extensions or denials.
  5. Ensures appropriate communication with managers regarding employees’ leaves for staffing considerations. Informs supervisor of leave status including return to work date and any restrictions
  6. Consistently uses department data repositories to accurately document LOA and track employee’s time off
  7. Ensures recertification on all approved Intermittent FMLA per policy
  8. Maintains contact with employee throughout LOA to assist with paperwork and to encourage prompt return to work
  9. Prepares and distributes all necessary FMLA correspondence
  10. Manages requests regarding leaves of absence in a timely manner and in accordance with government regulations
  11. Creates reports with minimal direction in a timely manner
  12. Ensures all documents are updated in accordance with changes in the law or LOA policy
  13. Responsible for providing updated information for web resources
  14. Works with HRIS on coding and tracking for FMLA
  15. Provides a confidential and trusting relationship with employees, HR and managers
  16. Remains updated on new laws relating to all types of leaves and communicates changes to Director
  17. Incorporates changes in law into LOA program processes and assist with LOA policy revisions
  18. Plan, develop, and implement ongoing training and communication for supervisors and/or employees
  • Maintains performance, patient and employee satisfaction and financial standards as outlined in the performance evaluation.
  • Performs compliance requirements as outlined in the Employee Handbook
  • Must adhere to the DCH Behavioral Standards including creating positive relationships with patients/families, coworkers, colleagues and with self.
  • Requires use of electronic mail, time and attendance software, learning management software and intranet.
  • Must adhere to all DCH Health System policies and procedures.
  • All other duties as assigned.

Minimum Knowledge, Skills, Experience Required

B.S.in HumanResources, Business or related field. Previous 2minimum years’ experiencein Human Resources, Business or related field required demonstrating:general office skills, medical terminology, basic knowledge of word, excel and database management. Previous leave administration experience preferred. Must be detail-oriented, excellent organization skills, able to work with a minimum of supervision, have a high degree of accuracy and be able to maintain confidentiality. Must be able to legibly document. Must excel in communication and customer-service skills and have the ability to appropriately address difficult situations. Must be able to read, write and speak English.

Working Conditions

Must be able to perform L- Light Work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects up to 10 pounds

Must have good manual and finger dexterity

Must have the ability to tolerate prolonged periods of sitting

Must have good communication skills

Must be able to deal with unpleasant or angry people

Must be able to perform public speaking

Physical presence onsite is essential. Hearing and vision must be normal or corrected to within normal range. Able to perform the duties with or without reasonable accommodation.
