Data Access

Please answer these questions in consultation with your foundation Program Officer. For further guidance, refer to the FAQs for Grantees and Vendors.

1.Describe all datasets that will be generated by this project, including a general description of the type/s of data (e.g. quantitative; qualitative); the likely file format (e.g. SPSS, STATA, N-Vivo, text, CSV); and associated metadata or documentation (e.g. data dictionaries; codebooks)

4.Datasets made available for public access should be stored electronically in a location that meets the following criteria. Please indicate which, if any, requirements may not be met, and provide an explanation in the space provided below. (To select, double-click on checkbox and choose “Checked.”)

Datasets are easily discoverable through conventionalsearch mechanisms by an informed layperson (e.g. researchers and graduate students in the field).

Metadata on the datasets are made available.

Appropriate measures (including anonymization) are taken to protect individual and personally identifiable information in the datasets.

The datasets will be accessible for 5 years from date of being lodged with a data repository or similar platform.

In cases where access will be limited to a specific set of users:

The online storage location for the datasets has the capacity to honor any special ownership and access preferences agreed with the foundation.

5.Providing timely access to data is of critical importance to the foundation. Please explain when the datasets that will be made available for public access will be (i) finalized and (ii) accessible.

6.Please state if access to or use of the datasets is limited in any way by pre-existing agreements or legal constraints. For example, access to the data set may be limited by a non-disclosure or confidentiality agreement. Access to the datasets may also be limited by laws to protect privacy (such as laws to protect the privacy of patients or students). Please describe any such limitations on access to and use of the datasets.

7.What are the anticipated costs to your organization to make the datasets accessible, and to provide for storage of the data for a period of five years? In which budget line-item are these costs reflected? Please consider both one-time costs involved in preparation of the data for access and ongoing costs (maintenance, storage etc.).
