Your Role

The Office Manager is crucial to our very busy and friendly office of 8 people. Working in a small organisation, the role is diverse, and includesresponsibility for information systems for our grants, efficient office management, publicity and events. You are the first point of contact withapplicants. Your day can range from hanging art in our boardroom to organising events for 200 peopleand talking to people about how to apply for a grant. No two days will be the same.

As a member of a small team you will contribute to the overall direction and development of the Foundation.

You will have the opportunity to meet the groups we fund and develop your skills and role at the Foundation. Our new fundraising initiative, Islington Giving, needs ideas to generate new money and to raise the profile of Islington. You will have opportunities to develop social media – a new departure for us.- and to run high profile events You will be given training on specialist data bases and software.

Key duties:

Information and Publicity

A large part of your role will involve maintaining and developing information, data and publicity for the Foundation. You will:

  1. Develop and maintain the Foundation’s databases including entering and updating information using specialist software called GIFTS. for all the Foundation’s grants programmes, and the fundraising database
  2. Undertake monitoring of all the Foundation’s grants programmes using GIFTS
  3. Analysis of grants and preparation of reports
  4. Update and develop the Foundation’s and Islington Giving’s websites regularly including the Islington Giving blog, facebook page and Twitter feed.
  5. Write and send out regular Islington Giving newsletters, mailshots and other publicity
  6. Lead in the production of the Foundations Annual Review and other information.

Events

  1. Lead on the arrangement of events and meetings which are designed to raise the profile of the Foundation’s work
  2. Assist with the arrangement of Cripplegate Foundation and Islington Giving Coalition meetings – about 20 a year
  3. Attend events when required. These are roughly 4 times a year, sometimes in the evenings.

Administration

The Office Manager supports the day to day running of all the Foundation’s Grants programmes, special initiatives and events. You will:

  1. Undertake initial processing of applications for grants from organisations and residents including checking eligibility, following up where further information is required
  2. Order goods for grant beneficiaries and dealing with any queries from suppliers and beneficiaries
  3. Assist with the payment of suppliers when required
  4. Inform applicants of the result of their application
  5. Administer donations to Islington Giving including sending out thank you letters and tracking workplace giving donations
  6. Upkeep Islington Giving contact database

Office Management

You will:

  1. Provide administrative support for staff including preparing letters, arranging meetings, photocopying,mailings and sorting the post
  2. Deal with initial telephone enquiries and advise potential applicants on their eligibility
  3. Develop and maintain office filing systems
  4. Order stationery and supplies for the office
  5. Liaise with suppliers to ensure that office equipment is maintained and that building maintenance is undertaken
  6. Act as the Health and Safety Officer for the Foundation

All staff are expected to undertake any other duties as reasonably requested by the Foundation

Person specification

Essential

  • The ability tomanage a varied workload to competing deadlines
  • Excellent IT skills with demonstrableexperience of working with Advanced Word, Excel, Access, MicrosoftOffice applications and databasesat an advanced level.
  • Excellent written and spoken English
  • Strong and confident communication skills
  • Excellent interpersonal skills
  • Self-motivated with strong organisational skills and attention to detail and accuracy
  • An awareness of the voluntary sector

Terms & Conditions

The appointment is subject toa six month period of probation, during which performance will be regularly reviewed. On completion of the probationary period, notice will be one month on either side.

You will be given training on our data bases, website and social media. You will be given opportunities to develop your skills. Although this is largely an office based post, you will be able to meet groups through visits and through events.

Hours:flexible 35 hours per week .There is a requirement to attend some evening meetings.

Holiday:28 working days a year, plus bank holidays.

Salary:£23,230 - £27,210 a year

Pension:Group Stakeholder Scheme – employee pays 5% of salary and Cripplegate contributes 10% of salary
