Creating BDS for Agent Office

Click on Agent Office Icon on the desktop.

Login using AO logins.

Click on Go > Contact

First contact in AO will open

Click on Tools> Group > Search by Example

A blank record will open

To get the total no. of records in AO, click on Begin

Now you can click on File> Export Contact Information

Select all the fields on the right hand side and move them using arrow to left handside

Click Ok, The file will save as .asc. You can open it as notepad and then copy on excel.

Click on Categories button at the bottom. A pop up window will open with all categories. Select a Category from the box and then click “Begin’

The cateory will appear on blank contact screen

Now click Begin and say Ok to Group name window and the count will appear on the bottom.

This way you can get counts for all categories.

Once you are done with categories –

Check the Buyer option and select one of the corresponding radio buttons to get the counts of those.

We will records them on BDS as Buyer – Prospect, Buyer – Customer, Buyer – Client

If there are no records tagged such, we can leave them.

Similarly search for Seller records.

For Other . Check the Other check box and double click on the box.

You will find options to select and get counts. It is sometimes used as ‘Contact Type’ field by Agents.

Records the counts as usual

Once you ar edone with that –

Get counts for Status field by double clicking.

However, Status – field is exportable so you can get the counts for codes under this field from export file.

Click on User defined tab and see the codes over there. Export file would have those fields too. So you can get the counts for those from there.

Now once you have all counts for all codes, we are now left with the process of putting them under proper sections on BDS.

Standard template for Agent Office stays as TP with same sections, Client Markeitng, SOI, Buyer Lead, Seller, Vendor, Realtor, Other and BAB – Cleanup.
