Accessing the Schools Portal

In order to attain the Healthy Learning, Healthy Lives accreditation, you will have to complete our online Assessment Tool. This can only be accessed through Doncaster Council’s online Schools Portal. The portal has been specially created to manage secure reporting and communications between schools and the council.

In order to access the Assessment Tool, you must be registered with the Schools Portal. In order to do this, please click on the link below, which will take you to the School Portal Information and Administration page, where you will find an online form to ‘Create a New User’.

How to Manage Access Rights to the School Portal

When you complete this form you will be asked to select the organisation you represent. If you cannot find your organisation in the drop-down list provided in the form, then you can report this using the ‘Report an Issue / Make an Enquiry’ form at the bottom of the School Portal Information and Administration page. Your organisation will be added and you will be notified by email that you can complete your registration.

Accessing the Assessment Tool

When you complete the online form to register as a user of the Schools Portal, you will be asked to select which section of the portal you wish to have access to; you will of course have selected Healthy Learning, Healthy Lives.

In order to access the Assessment Tool, all you need to do is log in to your My Doncaster account using the credentials you established when you registered as a Schools Portal user, and in your profile you will see a section called ‘My School’, as in the picture below.

Your school should be displayed in the right-hand panel, where you will see a button called ‘Actions’. Here you can select the Assessment Tool appropriate for your organisation. The Assessment Tool will automatically load.

The Assessment Tool

After selecting the Assessment Tool appropriate for your organisation, it will display the Summary page. The Summary page provides an overview of the Assessment, including all criteria within all sections, such as Healthy Eating or Physical Activity.

At the beginning of each section and for each criteria, a status will be displayed, which will be either ‘Not Started’, ‘Part-Completed’ or ‘Completed’. This is purely to help you quickly ascertain which parts of the tool you still need to complete. In addition, you will also see towards the top of the form a ‘Submission overall status’.

To the right of each criteria, you will see ‘Page Link’. Click this link to move to this individual criteria; this is where you input and upload your evidence.

On the new page, you will see an explanation of what the criteria means and provide examples of what you may need to submit to demonstrate that you fulfil that criteria. Beneath this you will then see ‘Upload Your Evidence’. You are instructed to upload documentation in a ‘zip’ file; this means a WinZip file. This is a tool that comes with newer versions of Microsoft Windows that allows you to ‘zip’ together multiple files into one ‘portable’ folder that can be emailed or uploaded into an online Assessment Tool such as this.

If you are unfamiliar with WinZip then you will be able to find and download it on the WinZip web site; additionally, a set of clear and simple instructions on how to use WinZip can be found here.

To upload a zip file, simply click on ‘Select File’ which will open the Network folder structure on your computer and select the zip file you wish to upload.

Towards the bottom of the page you will find a text box where you can input any quick notes to the Assessors and beneath this a drop-down list for you to select your completion status, ‘Not Started’, ‘Part Completed’ or ‘Completed’. This is the status which is then displayed on the main Summary page.

At the very bottom of the page you will see a ‘Save’ button. This enables you to save your submission at any point you wish. Next to this, the ‘Summary’ button will take you back to the main Summary page and save your submission at the same time. Finally, the ‘Next’ button will take you to the next criteria of the section; or, if you are on the last criteria of the section, it will take you back to the main Summary page.

Once you have completed all sections and their criteria and you are ready to submit your form, at the bottom of the main Summary page you will see the button ‘Ready to Submit Form’. Clicking this will take you to a declaration on sharing your data with other named resources; once you have responded to the declaration, you will be able to submit your form.

The system does a check to ensure that all of your sections’ criteria have been completed. If they are not completed, then you will be automatically taken back to the main Summary page where you can check the status of your criteria. If they are completed, then your form will be submitted for assessment and you will receive an email acknowledging receipt of your submission.
