COSC 1301: Lab 4 (Word Chapter 4) – Fundraising Campaign

You are currently working for a local Youth Affiliated organization. The organization is beginning a fundraising campaign that will involve the solicitation of donors through advertisements. Each participant has been asked to bring in a list of contacts that might be interested in advertising in your media guide. You will create a letter for this campaign, including a table displaying the cost of each ad, using the mail merge features in Word 2010.

Create the Letter

You will create a letter for this fundraising event using the Mail Merge features.

a.  Download all the files for this lab to your local machine or your USB drive:

b.  Open the file COSC1301_Word4_campaign_letter.docx.

c.  Open the file COSC1301_Word4_campaign_table.docx and copy and paste the table into the letter.

d.  Working on the inserted table, insert a total row and add the word Total at the left of the row. Using the formula option on the Layout tab, create a multiplication command in every row of column D (Total column). Again using the formula option on the Layout tab, total those column D figures in the Total row. Also in the Total row, add a formula to show a total for the second column.

e.  Format the table with the Light List-Accent 3 style.

f.  Add the Standard Header and then save the completed letter as COSC1301_Word4_campaign_letter_LastnameFirstinitial.

Mail Merge

Once you have completed the letter you are ready to begin the mail merge process by using the Step-by-Step Mail Merging Wizard (p.281-284, 286-289 and Hands-On Exercise 3 on page 291).

a.  Step 1: Select letters as the document type.

b.  Step 2: Use the COSC1301_Word4_campaign_letter_LastnameFirstinitial as your main source document.

c.  Step 3: Select your recipients from COSC1301_Word4_campaign_recipients.docx.

d.  While still in Step 3, edit the recipient list and add your name and address (select Edit in the Wizard to edit the recipient list).

e.  Sort the list by the recipients' last name (ascending).

f.  Select all recipients. Click Ok and forward to Step 4 Write your letter.

g.  Insert a field for the date at the beginning of the letter (Insert tab, Quick Parts, Field).

h.  Insert fields for the inside letter address as well as an appropriate salutation. You may need to format the address block. Preview the results of a merge to make sure all fields display properly.

i.  In Step 6, merge the documents into a new document (including letters to all recipients), and then save it as lastname_firstinitial_W4.docx. (hint: select Edit Individual Letters to accomplish the merge)

j.  Submit the letters for Janet Uselton and Jason McCoughlin (for online students, submit the 11 page document). Following the instructions given by your professor.
