CONFERENCE DATES & HOTEL INFORMATION

The Arizona Association for Career and Technical Education conference is an exciting opportunity to participate in professional development activities that pertain to your program area and career and technical education. This year the conference is scheduled for July 19th – 22nd, 2015 (Sunday-Wednesday) in Tucson at Lowes Ventana Canyon Resort and Westin LaPaloma Resort. The Embassy Suites (Paloma Village) is the conference overflow hotel.

It is up to you to make hotel reservations. If you have not reserved your room, you will need to call the hotels directly. Since rooms book up quickly, your name may be put on a waiting list. CTE will pay registration (Advance Rate), lodging, meals (that are not covered by the conference) and mileage. Room allowance is $95 per day for single/double occupancy.

REGISTRATION

The $499 base registration fee covers the ACTEAz President’s Reception on Sunday, full breakfast on Monday and Tuesday, buffet lunch on Monday and Tuesday, ACTEAz Awards Breakfast on Wednesday morning and conference materials. Meals not included in the conference registration will be reimbursed at the district per diem rate: $9.00 breakfast, $13.00 lunch, $22.00 dinner.

In order for CTE to pay for workshops and training sessions, they must be in your program area and directly relate to the courses you are teaching. Teachers are encouraged to attend their state affiliate organization luncheon and business meeting. This is a great way to meet with industry professionals and to network with other classroom teachers. Extracurricular activities, such as socials, golf or nights out, will not be covered by CTE.

Online registration is now open. Go to the website, chose the “events” tab, then “summer conference” and then chose “registration costs & policy information” tab. From this page you can chose “online registration”.

TEACHERS ARE TO COMPLETE THE REGISTRATION ONLINE AND TO ALSO PUT ON A TRAVEL REQUEST (WEBO) FOR THEMSELVES.

**IMPORTANT INFORMATION TO REMEMBER**

ATTACH A COPY OF THE REGISTRATION CONFIRMATION FORM TO YOUR DISTRICT TRAVEL REQUEST AND SEND BOTH TO CTE – ATTN: MELISSA PALMER. We will review your registration, and if it includes anything that will not be paid by CTE, we will give you the option of paying for the activity/session yourself or we will notify ACTEAz to delete you from that activity/session.

COMPLETE THE “2015 ACTEAZ Summer Conference Teacher Information Sheet” at . This is to help us keep track of teachers that are attending the conference and what days they will be attending.

LODGING – Remember to get a copy of your folio from the hotel when you depart. Your folio MUST show a zero balance, and that your credit card was charged. This needs to be attached to your travel reimbursement form to get reimbursed for your hotel costs. You will not be reimbursed for lodging if you go earlier or stay later then the sessions you have signed up for through the conference. Checkout time is at 11:00 am each day. If you do not checkout prior to this time, you will be financially responsible for any hotel costs incurred.

ALSO, you must receive preapproval from the CTE Director if you are not going to stay in the conference designated hotels or overflow hotel prior to attending conference. Items such as resort fees will not be reimbursed. The district will only reimburse for the lowest hotel rate.

WI-FI - Wireless access will not be a reimbursable expense.

VALET- is not a reimbursable expense. Parking is free at the conference.

MILEAGE – CTE has been approved to reimburse for mileage this year. To be reimbursed for mileage you will need to print out and attach a google/map quest form that shows the mileage to and from your home to the conference. No mileage in between the conference will be reimbursed.

DEADLINE

All Travel Requests with Confirmation forms attached are due in the CTE office by May 15th.

TRAVEL REIMBURSEMENT - Please make sure the Travel Reimbursement Form is completely filled out and signed. You must attach a copy of your registration, hotel folio, and Google Maps/MapQuest mileage.

ALL TRAVEL REIMBURSEMENT FORMS NEED TO BE TURNED INTO TRAVEL SERVICES 30 DAYS AFTER CONFERENCE ENDS.

TRAVELERS WHO DO NOT COMPLY WITH THESE DISTRICT TRAVEL GUIDELINES OR DO NOT TURN IN REQUIRED FORMS AND DOCUMENTATION IN A TIMELY MANNER, POTENTIALLY COULD LOSE TRAVEL PRIVELAGES IN THE FUTURE.
