3. / Matters arising:
3.1 / Reynolds refurb plans run through by Rhys to update most of SU
·  Timeline options: small incremental changes from Christmas onwards
§  Close for three/four weeks over easter for reopening after break
§  Possibility of waiting for summer- felt that it is too long to wait
§  Definite leaning towards Easter rather than summer
·  AP Becka to find out sessions using mentimeter to tag Reynolds survey onto end
3.2 / Study skills and welfare video promotion plans run through by Becka
·  Discussed people in video- how and why are we choosing people to represent
·  AP Becka to add Saloni and Jo Harris to list of participants
·  Andy Pritchard to film. Logistics are all sorted
·  Linking this to study skills information released by the library to encourage students to use this resource
·  Very much viewed as a pilot year. Feedback and adaptation is key
·  Discussion about options of separate video for BioMed. Not this year- felt the video is not specific enough to require BioMed video
·  Don’t link welfare too much to academic performance. Keep separate when presenting so that freshers don’t feel they approach welfare if their exam performance will be affected.
·  AP Becka to email document out to SU. This is very detailed and covers plans in depth
·  Very positive feedback
·  Discussion about who to include in the video
·  Discussion about whether humor in video is appropriate
·  AP everyone to reply to Becka by Wednesday with ideas/comments on plans (in response to the document)
3.3 / Unofficial Guide to Medicine discussion led by Usama
·  Quick run through on business
·  Doctor who set up company as med student. Books written by student in attempt to make them more relatable and keep costs down by avoiding big publishing companies etc
·  Usama met with founder to discuss his aims
·  Textbooks are only geared for OSCEs whereas our 5th and final years do PACES (with very different structure and mark scheme)
3.4 / Strike action discussion led by Med
·  SU in support of doctors striking
·  General email outlining options regarding whether they join the picket line or step up and help fill the gap in hospitals. Present the information but allow individuals to make the choice
·  Make it clear that there will be no penalization is striking is supported etc (Martin Lupton has confirmed this)
·  Idea of briefing final years in roles required if asked to step up. Very careful with phrasing
3.5 / MedSoc ideas led by Med
·  Generally good weekend was had by attendees
·  Really good networking opportunity. Met lots of similar roles from other universities
·  Option for UH best practice conference across London medical schools to link up London med schools and present research to MedSoc next year regarding best practice for medical schools
·  Three year plan can incorporate this
·  AP everyone to start chronological timeline for handover document
·  AP Med to set a date for UH conference meeting thing
·  AP Mala and Rhys to organize ents meeting on (preferably beginning of next week)
·  AP Med to send email regarding teaching awards
4. / Officers’ reports
4.1 / Academic Officer Early Years: Rebekah Judge
·  Attended first SSLG and Education Committee. Briefed new year reps. Interesting changes to the course occuring.
·  Attended ‘Vital Signs’ session with head of Years 1&2 and re-emphasised SU’s presence to help
·  Organized interview panels
·  Collaborating with faculty on number of ideas e.g. new year 2 foundations of care course,
·  Laurence and I (+ faculty) working on Video for first years re: study skills and welfare. Will discuss with ICSMSU in more detail.
·  Other possible issues to discuss: Gradmeds, issues with attendance, rankings, book selling
4.2 / Academic Officer Clinical Years: Usama Asif
·  MedSoc Conference… BIG
·  DCS updates relevant for fifth and final years e.g. changes to specific courses proposed (Senior Med, Surg)
·  Third year GP attachment - where do we go from here
·  What is best practice?
·  Zeshan Qureshi… I need to discuss the Unofficial Guide to Medicine and get your views
·  Curriculum Review Group on Thursday. Will update. This is a big project
·  Sofia is close to be being released. Finally

4.3 / Biomedical and 4th Year Rep: Saloni
·  Met up with the new BMS reps, and the new Y3/deputy BMS rep who will be liaising with the Y1 and Y2 reps directly
·  Wrote up the report for the BSc year SSLG next week
·  Met up with DPE and the other academic officers, and discusses how assessment feedback should be given to students for different types of assessments
4.4 / Summer Ball Chair: Nina
·  Seen venues with committee and almost decided. - controversial. Would like to discuss with ents team or SU.
·  Can we release the date for summer ball as a save the date?
·  Have raised approx 1.5k for summer ball already over some surprisingly successful sports nights plus graduation.
·  Have been in contact with hotel for snow ball. Late licence confirmed. I've also specified the amount of alcohol we need and what people will be drinking. Cash bar is also sorted on the hotel end
·  I've spoken to the DJ for snow ball, who's the resident for radio at the Roxy! Woop! Just finding out what equipment the hotel has so he can set up, but he's happy to DJ for us that night.
·  Started looking at decoration for snow ball and what we can order. Need to clarify with rhys on what the budget is and Tom and mala are working on advertising and making sure we have everything we need.

Super busy few weeks! Gladiator went without a hitch which is great, Masquerade ball was a huge success so things looking good. Fashion show applications to be sent out tonight - want to discuss whether 3 people running together is a terrible idea?
Overall super pleased. Will meet with Qas but have been really busy these last few weeks and havent had a chance (sorry Qas)

the club night went well with over 200 freshers turning up- great feedback. will try and do more of these random nights for them for free.

Hopefully everyone is happy with their stewarding now, if not once again please let me know. Wanted to discuss newsletter allocations (Dina, Med and Chippy know about this) but as I ended up in Sweden for my Brother’s 25th last minute I thought it might be easier to wait until next meeting when we’re all present.
Everything else is working well :)

Tour application for SU Retreat via IC so we shall wait to hear back - their criteria doesn’t really match with our ‘tour’ but we shall see! Have started having our individual 1-to-1s with you guys, Med & Emma. Can’t work out how to fix emails on my phone so may be slower than normal at replying to you until than normal. Med Soc Conference this weekend was big, had a fab time with the team. Thoughts on alcohol awareness with Laurence. E-activity things going fine - hopefully you’re not rejecting any Rhys!
PS Qas is top lead steward. Competition is on.
4.15 / Treasurer: Rhys
Meetings with Chris and ICU finance have decided that more power should be held by ICSMSU treasurer in terms of control of club finances. It was also decided to create a VAT quiz and training guide next year that I will be heading up. ICU reshuffle means that a lot of things are being delayed so spending most of my time dealing with the complaints from clubs about this.
Would like feedback in meeting from all SU how they find new set up with Dina doing your claims and PO’s as if this is well received I am going to look into developing this further.
4.16 / Clubs and Societies Officer: Alex Compton
Clubs and Socs room is cleeeeean! Hopefully it will stay that way. I’m now operating random weekly spot checks to keep an eye on clubs.
Had meetings with Ben about Hockey- we are meeting Fi/Tirion and Baker/Baldry on Tuesday
Attended CSPB. Not much came out of this except I’m writing a paper to take to Union Council re heathrow expansion and the possible loss of Harlington
Weekly emails to club and society chairs are going well. Good engagement from most clubs
Final Arts Dinner booking will happen tomorrow as I am going to the venue to chase them up
Varsity date is set as Saturday 19th March
Looking at moving Right To Play to ICSM management group
Had a meeting with Tegan and Toni regarding #imperialgirlscan and our plans for viral videos (set to be super exciting so watch out)
Still trying to locate all the microphones from Frat Party
Off for nap now. Will have a think cos I’ve definitely forgotten something
4.17 / Welfare Officer: Laurence Pallant
Individual cases like normal make up the bulk of the workload.
Meetings with:
Martin Lupton regarding finances and how to change students view of faculty.
Mike Schachter - individual cases
SSLG etc - video with AOEY; will be discussed further in meeting
Drop in sessions - 3 so far, have helped on average 1-2 people per session.
Attended training on Mental Health First Aid - first responders to those with a mental health condition.
Plan for this term campaign. Running out of time, will
have to accelerate post ICA.
