COMMERCIAL FOOD POLICIES 2017

Please read the following commercial food concessionaires’ policies and keep a copy for future reference.

1.  Entry form and electrical form must be returned by March 31, 2017 and accompanied by your non-refundable $ 35.00 entry fee. You must indicate the type of space desired, foods to be sold and their prices, appliances you plan to bring and your electrical requirements on this form. Electrical fees must be paid by June 16 after being accepted. Space assignments are determined by the Food Chairman and the Electricians.

2.  Those accepted for the Crafts Fair may withdraw from the Fair any time before August 15, and all fees will be refunded except for the entry fee. From August 16 to September 14, a dropout fee of $50.00 will be subtracted from the refund. After

September 15 there will be no refunds made.

3.  No foods other than those listed on the entry form may be sold during the Crafts Fair. Prices must be the same as submitted on the entry form. The Friends reserve the right to request that a vendor not bring certain food items to the Crafts Fair. This request will be made at the time that the concessionaire is guaranteed a place at the Crafts Fair.

4.  All commercial food vendors will be charged a twenty-five (25) percent commission on all GROSS sales to be turned in at the end of each of the 3 days of the Fair. This commission will be collected unless other prior arrangements have been made with the Commercial Foods Chairman. All commissions will be turned in to the Friends’ finance committee.

5.  You MUST set up booth space between 10 and 4 on the Monday before Crafts Fair, unless previous arrangements have been made with the Commercial Foods Chairman. All concessionaires are responsible for providing their own booths. See General Policies for times when vehicles are allowed on the grounds during the Crafts Fair. Schedule your deliveries accordingly. No trucks or cars will be allowed to park on the grounds during the Fair. Only one parking pass will be issued to each concession booth. This entitles one vehicle to park in the allotted commercial food spaces. These areas will be pointed out upon check-in. You will be furnished with name tags and passes. They must be used to get to the grounds. See General Polices about secured entrances to the grounds.

6.  All concessionaires are responsible for the grounding of each booth or trailer with an eight (8) foot-grounding rod. A concessionaire may contract with us for this requirement. After the initial contracted external connections by the General Services electricians, no wiring services will be provided. No appliances other than those itemized on the entry form may be used during the Crafts Fair.

7.  All concessionaires are required by the Memphis Fire Department to have a 20BC CHARGED fire extinguisher on their premises at all times. All propane gas bottles must be secured.

8.  All sewage must be self-contained.

9.  No amplifier, loud speaker, radio, record or tape player or other broadcasting device is permitted.

10.  No generators are allowed.

11.  No moveable Food Carts are allowed.

12.  All prices must be posted prominently.

13.  Inappropriate language and behavior shall result in expulsion of the vendor at the end of the day. The vendor and/or their staff shall not be invited back to future crafts fair.

14.  CITY FOOD PERMIT: All concessionaires are responsible for obtaining their own food permits. Please be prepared to present these to the Commercial Foods Chairman upon request prior to the opening of the Crafts Fair. Failure to have the proper food permit will result in the closing of your concession until such time as a permit is obtained. For permit information, contact the Memphis and Shelby County Health Department at (901) 528-3871. STATE PERMIT: A state permit is required as well. State inspectors will be on hand throughout the Crafts Fair.

15.  All concessionaires are responsible for manning their own booths. No volunteers will be provided by the Friends for commercial food concessions.

16.  Please prepare for your own change needs. The Friends cannot provide change. The state sales tax is in effect for all transactions.

17.  Concessionaires must have adequate fire, casualty and liability insurance. Neither the Pink Palace Museum nor the Friends of the Pink Palace Museum will assume liability for concessionaires’ actions.

18.  Failure to comply with ALL rules shall mean a participant will be dropped from our files and excluded from participation in this

and/or future Crafts Fairs. Policies are subject to change without notice.
