Collect 2017 Direct Fix FAQ for Exhibitors

1.  What do I need to do before I start fixing to gallery walls?

a.  Before you start fixing to gallery walls, you will need to have completed a ‘Permission to Fix’ form and had this signed by a member of the 20-20 Events Team. You can do this by either completing the direct fix form that will be sent out with the exhibitor manual or you can complete it onsite by letting us know at the 20-20 Service Desk on the Ground Floor when you are ready.

b.  Alternatively if you wish to obtain confirmation that you will be able to fix as you wish in advance of the fair then there will be a form contained within the exhibitor manual which you can submit and you will then receive confirmation by no later than 05th December 2016 providing that your forms are submitted by the deadline.

2.  Do Exhibitors have to use specific types of fixing for hanging onto Gallery walls?

a.  Exhibitors do not have to use any specific type of fixings but if you have any specific queries regarding particular pieces then please get in touch and we can advise.

3.  Do Exhibitors have to send in drawings of where they are hanging onto the walls before installation?

a.  Before you start fixing you must have drawn a plan of where you wish to fix on the permission to fix form. This can be completed onsite and does not have to be done in advance of the fair.

4.  Are there walls where hanging is not permitted or can Exhibitors use every available wall?

a.  Hanging is permitted on all walls included in your stand space. All venue walls require a sign off from a floor manager prior to hanging on them and are subject to the following guidelines:

Exhibitors are able to make up to 6 holes per 1 linear metre of wall space. The number of holes is dependent on the size hole that is being made if the holes are no more than 3mm in diameter (eg small brass nails) then you may make 6 fixings per 1 linear metre anything over 3mm and under 10mm ( eg screws and wall plugs) you can make 3 holes per 1m of wall.

5.  If Exhibitors do not wish to fix to the walls themselves are there alternative options?

a.  There will be Saatchi Gallery technicians on hand to assist exhibitors with their installation. These can be booked at the Service desks in the foyer of the building. The Saatchi gallery will charge a small fee for this service.

This will be available to pre book – details will be in the Exhibitor Manual.

6.  How will Exhibitors’ lighting be attached to the walls?

a.  There will be a number of options for exhibitor lighting. Exhibitors can have long armed spots fixed to any stand build walls (Stabilo walls) which simply fix to the top of the stand walls. For lighting the rest of the stand exhibitors will be able to order battoning from the stand builder which can be fixed between two stand walls or can be fixed to the venue walls.

Depending on stand sizes there may be a requirements for internal supports to be built or fixed to the walls. Where fixing to the wall is required you will not need to include these fixings in your total venue wall fixing count. More information on lighting options will be available with the Exhibitor Manual.

b.  What will the maximum length of a light baton be?

There is no maximum length really, there is a maximum 500cm of free span but other than that no issues with length. There is a limit to the distance that can be reached over before fixing back (mentioned above.)

7.  Will it be possible to change or add lighting during installation?

a.  During the set up days it will be possible to add additional lighting so long as all the battoning is ordered in advance. It will be possible to order long arm spots for stand walls at any stage during the set up. All lighting orders should be made on Wednesday 6th May by 8pm.

8.  What is the weight limit for a single object to hang from the Gallery walls?

a.  The wall is constructed of brick and plaster so weight loading is not so much of a factor. The weight loading will be determined by the fixings that you wish to use to attach, so please ensure that you use suitable fixings. As a minimum the walls will support the same weight as the stand build (Stabilo) walls. If you have any questions then please get in touch.

9.  Will there be separate object handling technicians available for the Exhibitors to hire as well as ‘build’ technicians?

a.  You can hire technicians to assist with fixing to the gallery walls if you do not feel confident doing this yourselves, they may be able to assist with hanging the pieces as well. This service will have a small fee.

10.  Can Exhibitors create their own back wall if they wish to pay for it?

a.  It is possible to order extra walling for your stand but due to scheduling not all requests for this will be able to be fulfilled, if you think you may wish to order a back wall then please contact us as soon as possible.

Any agreed built back wall will be 0.5m into the stand due to the supports that are required behind to make the wall stable.

11.  Can Exhibitors attach shelves to the venue walls?

a.  Shelves can be attached to walls but are subject to the same restrictions as any other type of fixing to the walls.

12.  Can Exhibitors choose a wall colour from a range?

a.  There will be a number of approved colours which exhibitors will be able to have their stand build walls painted. It will not be possible to change the colour of venue walls. Exhibitors who wish to change the entire colour of their stand should look to have additional walls built.

13.  Who is responsible for filling and painting the walls if an object is moved from the wall after the opening of the fair?

a.  It will not be possible to fill in holes throughout the fair, either venue or the stand walls. You will need to plan your stand walls carefully to ensure you do not end up with unfilled holes on your stand.

14.  Who is responsible for filling and painting the holes at the end of the Fair?

a.  All reparations being made to the venue will be made by the Crafts Council and are not the responsibility of the exhibitor. There will be no additional charges for reparations if exhibitors attach to the walls as per the guidelines. However there will be charges for going over the Exhibitor Guidelines which will be calculated on a case by case basis.
