Job Title: GCIC Specialist

Job Summary: This position is responsible for entering and checking data in the Georgia Criminal Information Center (GCIC) and the National Criminal Information Center (NCIC).

Major Duties:

  • Enters alphabetic, numeric or symbolic data from written reports to the computer information management system following format displayed on screen; compares data entered with source documents, or re-enter data in verification format to detect errors;
  • Receives warrants, enters them into warrant database system and maintains records concerning their location and status;
  • Performs other data entry duties into state and national systems to include:
  • Data into GCIC/NCIC system checking for accuracy;
  • Keeps daily logs indicating the number of entries entered, canceled and verified;
  • Notifies appropriate personnel in “HIT” confirmation procedures;
  • Updates the stolen articles, vehicles, guns, boats, etc. file; cancel records when necessary;
  • Maintain copies of entries and associated paperwork;
  • Send teletypes to other agencies as necessary.
  • Completes monthly validation reports in a timely manner;
  • Maintains radio contact with civil/warrant division personnel;
  • Maintains logs of driver’s history and criminal history records obtained;
  • Responsible for administrative and clerical work including answering phones and responding to public inquiries;
  • Submits statistical, uniform crime, probation, and other assigned reports at the end of each month;
  • Assists with court; takes payments, processes public defender forms; other court duties as necessary;
  • Performs other related duties as assigned.

Knowledge Required by the Position:

  • Knowledge of GCIC/NCIC certification rules and regulations, operations manual, policy manual and completion of proper forms;
  • Knowledge of City and departmental policies, procedures, rules and regulations;
  • Knowledge of law enforcement policies and procedures related to reporting;
  • Skill in operating modern office equipment;
  • Ability to establish and maintain effective working relationships within the Police Department, with other city employees and the public;
  • Ability to attain certification as NCIC/GCIC Full Terminal Operator;
  • Ability to communicate effectively both orally and in writing;
  • Ability to handle multiple interruptions and adjust priorities throughout the day;
  • Ability to accurately enter detailed information into various computer systems.

Supervisory Controls: The Chief assigns work in terms of departmental goals and objectives.

Guidelines: Guidelines include the City and departmental policies and procedures and GCIC/NCIC rules and regulations.

Complexity: The work consists of a variety of administrative and technical duties.

Scope and Effect: The purpose of this position is to maintain and ensure the accuracy of all Police Department’s entries of incident, accident and arrest reports in the GCIC/NCIC system.

Personal Contacts: Contacts are typically with co-workers, other city employees, law enforcement officers and the general public.

Purpose of Contacts: Contacts are typically to give and exchange information, resolve problems, and provide services.

Physical Demands: The work is typically performed with the employee sitting at a desk. The employee uses tools or equipment requiring dexterity.

Work Environment: The work is typically performed in an office.

Supervisory and Management Responsibility: None.

Minimum Qualifications: High School or equivalent; Associate’s degree or two (2) years of college course work from an accredited college or university in criminal justice or related field preferred; two (2) years of clerical, paralegal or administrative work; equivalent combination of education and experience.
