Activities

When / What /
Within two weeks after the Evening of Discernment-CSD/LD-Men / Contact the Team CSD/LD to plan a combined Reconciliation service. Contact Fr. Clayton to find priests in the area to hear confessions that evening. Contact Staff Liaison to schedule the Church for the evening. See the Silent Reflection document above for a option instead of doing the group reflection on Peter.
Within two weeks of the Evening of Discernment- CSD and LD / Make plans for the Eucharist Formation night. Contact one of the deacons to do a demo Mass, use the Catholicism DVD series #7 (Contact the staff liaison for access to the DVDs), ask an instructor from the Catechesis of the Good Shepherd program to talk about the Mass.
9 weeks before the retreat - CSD or LD / Contact Kris Walters () in youth ministry to solicit Eucharist Witness recommendations. Men: Please contact for the women so he is only contact once and then forward female recommendations to CSD for the women. It is customary to get a gift card or gift for the teen witness. This can be reimbursed through the staff liaison.
8 weeks before the retreat- CSD/LD / Select a verse and an song that will be the theme for your team. The verse will be used for the weekend binders and loaded to the food donations page. The song will be sung on the weekend when you move from room to room. You can use this song during formation as well to make sure everyone is familiar with it.
6 Weeks before retreat weekend - CSD/LD / Meet with the Facilitator over the schedules/ Coordinate the CSD/LD script with the schedule.
4 weeks before the retreat- CSD/LD / Pray about if you are being called to serve on the Continuation Committee. Contact the current Continuation Committee Chair to discuss the possibility of serving. If the CSD/LD are not able to serve then they should approach a team member for inclusion on the committee.
4 weeks before the retreat- CSD/LD / When you feel your team is getting a little anxious about what their roles will be on the weekend. It is good to use part of a meeting to group them by roles and let them go over the structure to make sure they are comfortable with their role. This gives everyone an opportunity to read through their responsibilities (OPTIONAL).
2 weeks before the retreat - CSD or LD / Mention to the team that they should be praying about if they may be called to facilitate HG/FS or Discernment. Contact coordinator to put them in touch with training and shadowing schedules.
2 Weeks before the retreat - CSD and LD / Call the Pentecost facilitator to see what role you will need to play in the upcoming Nights of Pentecost (The first night is mostly led by the facilitator but there are some items that you need to prepare in advance).
After the retreat - LD / Collect any undelivered letters for no-shows or cancellations. The CC policy for undelivered letters is that they are held by the LD for one month. If the person who wrote the letter requests the letter they can pick up the letter during that one month period. After one month all letters should be destroyed by the LD.
4 weeks prior to the next retreat weekend - CSD and LD / Plan the Agape Service for the team that you led on their retreat weekend. See Google docs under Agape Service for more information and a template for the worship aid.

  Focus is:

1. Leading ALL formation activity as described by the Manual

2. Planning and Running each formation meeting

3. Director for the Retreat Weekend.

  When a question comes up regarding the weekend, the focus should always be on the retreatants and what is best for them and their experience not what is best for the team.

  The simpler you can make the retreat weekend the better. The Holy Spirit is at work.

  You can use the above templates for reading assignments

  Any outside materials such as DVDs, books, etc. to be used on the weekend that are not specified in the Christ Renews Manual need to be approved by the Continuation Committee Chairperson.

  Saturday Mass is held in the Church after the Eucharist Witness and Reconciliation Service

  Sunday Mass is held in the Christ Renews Chapel set up in the Quigley

  Foot Washing Towels should be washed by the team giving the retreat and then returned to the South Coat Closet in the Quigley

  One of the Deacons can be asked to bring the Eucharist to the Chapel at 7:00 am on the start of the retreat or you can have any Extraordinary Minister of the Holy Eucharist bring it over morning of the two candles should accompany the Eucharist.

  The times that priests are needed should stay consistent with past retreats as seen on the schedules.

  There should not be any visitors in the witness room during the retreat weekend (especially during the witness talks (no family members, etc.). The one exception is the teen witness may have parents present. Witness talks are meant for the purpose of Family members are encouraged to be in the CR Chapel praying during witness talks. The retreatants experience not others.

  When making table assignments for the weekend do your best to separate good friends.
