Meeting Minutes

May 2nd, 2017

Call to Order: 6:05 PM

Attendance: Kristen Barnes, Maria Elena Arner, Carmen Cata, Davida Cox-Burkhammer, Jennifer Hough, Sharon Stevenson, Tonya Morrison, Christy Lewis, Carla Neigh, Tracy Ramos, Claire Townend, Amy Wentela

Principal’s Report: Christy Lewis

Updates:

Mr. Daniel had hip replacement surgery and will be out for about 2 weeks.

After Prom Busses: 2 runs will be made from the school; one at 11:30pm or 11:45pm and one at 12:00am. At 12:00am busses will take students from Prom to FunLand. At 4:00am busses will return students to Colonial Forge. Mr. Berry will be at the school overseeing the busses and will follow the last one. One administrator will take the first bus from Prom to FunLand, then the rest of the administrators will follow once all of the students have left Prom.

After Prom chaperones: So far 7 teachers have volunteered to help and the school will be purchasing their tickets.

Prom decorations: Amy Wentela and her husband will take the decorations from Prom once it’s over.

President’s Report: Jennifer Hough

  • Jennifer did the Sign-Up Genius; she knows the request for volunteers is high but she is trying to get people to help.
  • Next month we will vote on chrome books.

Secretary’s Report: Maria Arner

  • Amy Wentela motioned to approve the April 4th, 2017 minutes with one correction (under “Secretary’s Report”, last line, “minutes” was misspelled). Kristen Barnes seconded the motion and the minutes were unanimously approved.

Treasurer’s Report: Carmen Cata

  • Checkbook balance as of 4/30/17: $35,286.52
  • Bank balance as of 4/30/17: $33,910.71
  • Christy Lewis mentioned Frank Mitchell, from a CPA firm, as a potential auditor. Carmen will contact him and let us know what he’ll charge.

VP of Fundraising’s Report: Tonya Morrison

  • Banner & Stake sales: Deadline was 30 April but Tonya is waiting a few more days for late orders. 24 banners and 23 yard signs have been sold (a total of 32 orders). This is about the same as last year.
  • Tonya gave an information sheet on the Flower Fundraiser to Maria Arner to be placed in the VP-Fundraising binder.

VP of Membership’s Report: Kristen Barnes

  • April hours: 333.5; YTD Total: 1,739.00 hours. Keep submitting hours; may have made a difference in the redistricting vote.
  • Total hours in March amended to 1,405.25 hours
  • 287 members; 133 staff

Committee Reports:

After Prom: Sharon Stevenson and Davida Cox-Burkhammer

  • Kristen Barnes will be in charge of the cash box and distributing any checks the night of After Prom. Amy Wentela can also sign checks if needed.
  • The school will be paying for the security officers.
  • Carmen Cata will have checks ready for all of the invoices she has received.
  • After talking to other schools with AP at FunLand, it has been determined that the kids don’t eat too much because there are so many activities to do and there isn’t much seating available.
  • It’s requested to send the Sign-Up Genius to the entire school to get donations and volunteers.
  • If anyone has any questions/concerns/etc. Sharon Stevenson is the POC.
  • All prizes are wrapped so nothing “walks off”.
  • They have put together many fun baskets for 15-minute prizes; including college baskets.

Muffin Cart: Amy Wentela

  • Doing really well but need Thursday and Friday volunteers.

Staff Appreciation: Claire Townsend

  • Cinco de Mayo lunch on Thursday, May 3rd. Will send out the Sign-Up Genius again. Really need more meat.
  • Sunshine bags this month (baseball theme) were given to math teachers. Don’t need any more this year.

Club Grants: Maria Arner

  • Maria talked to all of the teachers receiving grants this spring and they’re all very excited and appreciative.

Scholarship: Tracy Ramos

  • We received 14 applications this year.
  • The difference between #7 and #8 is 1 point; difference between #8 and #9 is 5 points; it’s another 10 or so points to #10.
  • Maria Arner made a motion to fund 9 Scholarships this year for a total of $4,500. Sharon Stevenson seconded the motion and it passed with a 9-1 vote.

Webmaster: Tonya Morrison

  • Nothing to report.

Old Business: None

New Business:

  • Nominating Committee
  • The following slate was presented in April:
  • Secretary: Maria Arner
  • Treasurer: Carmen Cata
  • When the slate was presented in April there were no nominations for President, VP-Membership, or VP-Fundraising. The Nominating Committee has continued to advertise, but no one has put their name forth for any of these offices.
  • Floor was opened to new nominations. None were made.
  • Tracy Ramos made a motion for Maria Arner and Carmen Cata to be allowed to serve an additional term. Sharon Stevenson seconded the motion and it passed unanimously.
  • Kristen Barnes made a motion to approve the presented slate of officers. Sharon Stevenson seconded the motion and it passed unanimously.

Motion to adjourn made by Amy Wentela and seconded by Sharon Stevenson. Meeting adjourned at 7:15.
