CATALOGING CONTINUATIONS FROM SERIALS

1. Books fall into three general categories:

a. Books, published in series, that are classed separately.

b. Analytics

c. Miscellaneous monographs ordered through Serials

2. Search for cataloging record on OCLC using Passport software.

3. The record needs to match the book in all particulars, including title, author, editor, publisher, publication date and number of pages.

4. If the record has a call number in the 050 field, then follow the instructions in #8 below.

5. If the record has a call number in the 090 field AND subject headings, then follow the instructions in #9 below.

6. If the record has no call number or is incomplete in some other way, then place the book on the contributed copy with no 090 shelves, along with a printed copy of the record.

7. If there is no matching cataloging record, then place the book on the original cataloging shelves.

8. Once you are certain that you have found a matching record, then do the following:

a. “Update” the record in OCLC. This adds “CUZ” to the list of libraries that hold the book in question. To update, key <u> at the home position and then key <F11>.

The “No Holdings” statement at the top of the record should now read “Held by CUZ”.

Then export the record to CRUZCAT. Key <xpo> at the home position and then key <F11>. A message window should appear informing you that the record has been exported and providing you with the CRUZCAT record number assigned to the incoming record.

b. Search for the new record in CRUZCAT, either by title or by the record number. Check for the following conditions:

(1). If the book is a revised edition or a 2nd or 3rd, etc. edition, then search CRUZCAT to ascertain whether or not the Library holds an earlier edition. If so, the call numbers need to match, except for the date, which should reflect the publication date of the book in hand.

(2). If the book is a literary work or a work of criticism or biography on a literary author, then search CRUZCAT to see if there are other works by the same literary author. If so, the same class letters, class numbers and author cutter should be assigned to the book you are cataloging.

(3). If the book is a set of conference proceedings and has a conference main entry (i.e., a 111 field), then search Cruzcat by the conference name to see if there are other proceedings from the same conference in other years. The call numbers should be the same, except for the date, which should reflect the date of the conference (not the publication date).

c. Then do the following:

(1). Edit the bibliographic location field

(2). Complete the 300 field, if necessary.

(3). Revise the call number if necessary to make it match earlier editions.

(4). Add an item record. Key <a>, then <i>, then <1>. At the prompts, edit the information as appropriate for item location, status, volume number, barcode. If the book is designated as Library Use Only (blue streamer), then IType should be 1. Change copy number if appropriate. Add a label location field if the book has any location other than McHenry stacks or Science stacks (consult the list of label locations for the correct wording).

(5). For analytics only, change the bib level field to z. Note also that analytics already have the call number assigned and written in the book. Use the call number in the book, revising the call number in the record, if necessary.

(6). Add 934 holdings statement in the bibliographic record, if appropriate. Key <i> to insert a field, <h> to choose library holdings tag. Then key holdings statement, e.g., Library has: v.1-2; or Library has: c. 1-2.

(7). Write the call number in the book in the upper right corner of the first page after the title page.

(8). Add the barcode to the upper right corner on the inside of the back cover. If the book is less than a pencil in thickness, then put barcode on contact paper and clip inside book. Preservation will be binding small books and then adding the barcode.

9. For contributed copy books, the procedure is the same as in #8 above, except that you must verify the call number first. Follow the steps outlined in the attached “Contributed Copy Cataloging”.

10. Place the cataloged books on the cataloging book trucks. Keep track of the number of books you have cataloged to report on the monthly statistics form.
