The portability and long battery life of your Surface with Windows® RT device make it easy to carry with you to meetings. UsingMicrosoft® OneNote®, Microsoft Outlook® 2013 and your tablet’s built-in camera,you can easily capture and share pictures of the whiteboard diagrams from your meetings.

NOTE: This document is focused on the Surface with Windows RT and not the Surface with Windows 8 Pro.

Share whiteboard pictures

Taking a picture of that great whiteboard diagram from the meeting can be quick and effective—provided you can find it again later. Is it in your camera roll? Which device? Which whiteboard picture belongs with which meeting?

You may have other reasons to bring your Windows RT device to meetings, but it can also help solve your wandering whiteboard picture problem. Here’s how: use the Meeting Notes feature of Outlook 2013 to create a shared OneNote file for the meeting that anyone attending the meeting can edit. Just open the notes from the meeting request, and then use your Windows RT device’s camera to insert whiteboard photos. To find your whiteboard photos again later, open the meeting notes again from the meeting request.

Set up SkyDrive Pro file sharing

By default, the OneNote Windows Store app creates new notebooks in the Microsoft SkyDrive® storage associated with your Microsoft Live account. While SkyDrive is fine for personal documents, you should use SkyDrive Pro for work documents and notes.

Install the OneNote Windows Store app

The OneNote Windows Store app includes the capability to insert photos directly from your Windows RT device’s camera into a OneNote file.

ToinstalltheOneNoteWindowsStoreapp:

  1. Swipe from the right to display the Charms bar, and then tap the Search charm.
  2. Select Store from the list below the search box.
  3. In the search box, typeOneNote, then tap the Searchbutton.
  4. Tap or click the OneNote application, and then tap Install.

Create a meeting request

To associate meeting notes with a meeting, you’ll need to create the meeting request from a PC running Windows 8 Professional and Outlook 2013.

  1. Open Outlook 2013 and select the Calendar view.
  2. Tap or click New Meeting to start a new meeting request.
  3. In addition to the other meeting details, tap or click the Meeting Notes button.
  1. In the Meeting Notes dialog box, tap or click Share notes with the meeting.
  2. In the Choose Notes to Share with Meeting dialog box, choose a notebook and section where the meeting notes should be stored, and then tap or click OK.

A “View meeting notes” link will be inserted into the description for the meeting request. Outlook will automatically create a page in the notebook section you specify with the same title as the meeting, and meeting details. The page will be shared so that any attendee can click on the link to open the page and edit it.

Capture a whiteboard

Toinsert a whiteboardphotointothemeetingnotes:

  1. Open the meeting request on your Windows RT device in Office 365 or another calendar app.
  2. Tap the View meeting notes link in the description of the meeting.
  3. The meeting notes file will open in OneNote.
  4. Select the position in the notes file where you want to insert the whiteboard photo.
  5. Tap the radial menu icon.
  6. Tap Camera.

  1. Use the Change camera option to select the rear-facing camera.
  2. Frame your picture and the tap the screen to take the photo.
  3. Your whiteboard photo will be taken. Optionally, you may Retake the photo, or Crop it.
  1. Tap OK to insert the photo into the meeting notes file.

Find whiteboard pictures

Tofindwhiteboardpicturesfrom a pastmeeting:

  1. Open the meeting request in Outlook 2013, Office 365, or another calendar app.
  2. Tap the View meeting notes link in the description of the meeting.

The meeting notes file will open in OneNote and will display any notes and pictures that were inserted.
