Cake Sale Guidelines

CAKE SALE GUIDELINES

BEFORE THE SALE:

  1. Put up posters around the school at the beginning of the week of your sale. There are some generic posters in the RAPSA shed that need to be put up the Monday of the cake sale week - ask Rachel (Rep Co-ordinator) to fetch these from the shed for you. There is a large cake banner and some ‘cake sale’ bunting in the shed too which you can use if you wish.
  1. Warn the parents/carers in your class a week before the sale so that they are ready to bake or buy cakes. Fairy cakes, chocolate crispy cakes, tray bakes, biscuits and popcorn are the best sort of thing to make but all donations are gratefully received. Start asking for helpers and arrange cover from other parents if you, as reps, cannot make the sale.
  1. WE ARE A NUT-FREE SCHOOL. When asking for volunteers to bake, please remind them we are a nut-free school and some children at school have severe nut allergies. Bakers should please ensure there are no nut or nut-related ingredients in their cakes (including marzipan, flaked almonds, peanut butter). If donating shop-bought cakes, parents should check the ingredients list.

Shop-bought cakes with traces of nuts are fine, but please label them at the sale – we are not claiming to guarantee that cake sales are suitable for children with severe nut allergies, rather we are abiding by the rule that we are a nut-free school. Please appoint one rep to be in charge of checking that cakes donated are nut-free.

  1. Remind Karen (RAPSA Treasurer- ) of the cake sale so she can leave three floats (one for each table) in the office for you to collect on the day. You can make arrangements with her about returning the float along with the takings, and should assign one person, (who should be identified to Karen in advance) as the responsible person for the float and the takings.
  1. If parents request to leave their cakes in the morning of the sale, they can do so in the library. One rep will then have to take them to the staff room for storage (eg on top of the fridge).

DAY OF THE SALE: arrive a little before 3.00pm

  1. Tables: Ask Andrew (Site Manager) to put up two trestle tables under the blue canopy (by year 2 classrooms, opposite the chickens) and another one outside the reception classes along the boulevard and a third of table located near the back gates, by the After School Club and year 1 classrooms . It is a good idea to have a ‘runner’ between tables to even up the number of cakes through the sale. Please make sure all tables are clean after the sale.
  1. RAPSA shed: The ‘shed’ is the green container next to the school car park. In a blue and white ‘cake sale’ bag you will find platters, trays, price labels, cake bags and wipes to clean the platters and tables after the sale. If anything runs out please let us know. Rachel (Rep Co-ordinator), Julie (Co-Chair) and Karen (Treasurer) each have a key – check there will be someone there at 3pm with a key.
  1. You will need to bring along some knives to cut larger cakes and tray bakes.
  1. Get a few parents to help you on the stall, say 4-5 for under the canopy and 2 at the smaller tables though more would be good as the stalls do get very hectic. Nursery parents collect at 3.20pm, and often parents buy before collecting their children, so it’s a good idea to have the tables ready, especially the reception table, by 3.15pm.
  1. Set out cakes on platters. As a guide, most fairy cakes, cake slices, choc chips, popcorn bags and tray bakes will be 50p, while smaller cakes can be 30p or even 20p. Use the prices on sticks (collected from the shed) to stick into the plates of cakes – this makes adding up multiple purchases much easier! Also, there are different coloured trays which can be used to colour code prices (eg cakes on white trays = 50p, cakes on grey trays = 30p)
  1. Any leftover cakes will be gratefully received in the staff room or after school club and office unless there is a Jumble Sale or Fair scheduled for the following day, in which case they can be left in the kitchen.
