Job Title: Database Officer

Accountable to: Database Team Leader

Location: London

Salary: £30,529 per annum inclusive of London Weighting

Contract: 1 year fixed term contract

Hours: 35 per week, usually 9.00am – 5.00pm Monday - Friday

About the Database team:

The Database Team is responsible for Breast Cancer Care’s new CRM database (Blackbaud Enterprise CRM) which is a strategic initiative to ensure that Breast Cancer Care offers the best service to its external contacts, i.e. clients, volunteers, campaigners and supporters. This is a key role within that strategic initiative. The team is within the Supporter Services function which sits within the Fundraising & Marketing directorate.

About the database officer role:

The post’s primary responsibilities include tasks varying from data selection, analysis and reporting to data import/export and CRM configuration. This is a varied role and, because the team is small, the post-holder has the opportunity to work on all project lifecycle stages and with all teams across the organisation.

Your responsibilities

Campaigns/mailing selections and analysis

·  Fulfil internal requests for queries, mailing selections and analysis

·  Define and extract data for marketing campaigns, appeals and related activities in a planned and timely way, ensuring the activity is optimised and fully recorded

·  Ensure that legislative and regulatory requirements are supported

·  Produce post-campaign reports to analyse the response and identify insights

Data imports

·  Prepare and import data using the most appropriate import tool, liaising with suppliers as necessary to address and resolve issues

·  Ensure that all data imported are recorded accurately, consistently and to planned timescales

Development

·  Assist the Database Architect with requirements analysis, agreeing and documenting functional specifications and the implementation approach

·  Assist with testing new developments and database upgrades

·  Implement database improvements through above developments and/or vendor projects

·  Participate in business process reviews to develop greater efficiencies

·  Support business teams in delivering new products, functionality and services

Database management

·  Assist a rolling programme of regular maintenance and housekeeping, including identification and amendment of duplicate records and data entry errors

·  Analyse data issues so root cause analysis of sources of defect may be understood, and work with colleagues to ensure such root causes are eliminated/minimised

·  Support documentation of processes, procedures and training materials, helping with induction and occasional training of end-users.

Partnership and liaison

·  Work in close liaison with colleagues across all directorates and promote good working relationships across the charity

·  Champion effective use of the database and data accuracy

·  Attend relevant bodies’ meetings, conferences and training events.

Person specification – essential criteria:

Experience - Essential

·  Extensive experience of databases

·  Business requirements analysis

·  Experience of segmenting marketing campaigns and analysis of associated outcomes

·  Writing queries and creating reports

·  Data import/export via a variety of methods, eg standard and more advanced facilities

·  Data analysis, reporting and presentation

·  DPA requirements and best practice

·  Maintenance of audit trails and security principles

·  Extensive Microsoft Office knowledge (including advanced level Excel, Access and Word)

EXPERIENCE – DESIRABLE

·  Experience of The Raiser’s Edge/Blackbaud Enterprise CRM or charity database solutions or Microsoft CRM and/or Salesforce

·  Providing application support to users

·  Experience of partnership working with external agencies and suppliers

·  Writing and debugging SQL scripts and queries

·  Development experience including application development programming (eg VB.NET, XML/web) and quality assurance/testing

·  Experience of working on a CRM solution in a distributed and multi-vendor environment

·  Experience of healthcare, customer care or fundraising environment

·  Knowledge of customer service best practice in the private and voluntary sectors, especially from a CRM perspective

·  Experience of working within a project environment

·  Knowledge of Gift Aid, PCI-DSS and other relevant regulations

·  Stays abreast of current industry developments eg CRM, online and marketing

Skills

·  Driven by the delivery of business outcomes to achieve the organisation’s mission, with a passion for data and its role in achieving this

·  A computing BTEC or HND or similar

·  Intellectual rigour with an analytical, enquiring mind with the ability to problem-solve and develop business insight

·  Highly accurate work with meticulous attention to detail

·  Excellent planning, organisational and time management skills, with ability to prioritise own workload, collaborate, multi-task and meet tight deadlines

·  Numerate, to facilitate trend analysis and reporting

·  Excellent written and verbal communication skills, with the ability to communicate and present information to a wide range of people.
