Booking and Use of a Room at Fakenham Gateway SureStart Centre

For your safety and comfort, please take note of the following protocols.

Health and Safety

Fire and/or Evacuation of the Building

Course/activity leaders and Parents are reminded to complete the Visitors’ Book on entering and leaving the building. A Working together to Safeguard Children, Child Protection Procedures in Our Centre leaflet will be given to all users along with an Agency Room Booking Form.

In the event of a fire or the need for an emergency evacuation of the building, the alarm is a siren and the red fire alarm units will flash. Please exit the building by the nearest safe emergency exit. Exit for the room is through the doors to the outside of the building. A diagram showing the fire escape route is located on all main doors of the building. Please do not enter the main corridor through internal doors unless unsafe to proceed out of the fire exit to that room. The assembly point is through the gateways to the bottom of the left hand side field where the Fire Assembly point is displayed.

Course/activity leaders and parents are required to advise all delegates and children of this information.

Course/activity leaders or parents are responsible for the evacuation of their own attendees/delegates and children. In order that checks can be made that all visitors are out of the building Course/activity leaders and parents are asked to complete a Children’s Centre Registration Sheet for each session held within the Centre. (A supply is attached). It is the responsibility of the Course/Activity Leader or parent to take this document with them in the event of an emergency evacuation and report any missing attendees to the relevant fire warden.

Please ensure that during your use of a room emergency exits and fire extinguishers are not obstructed or moved.

Fakenham Gateway Sure Start Children is a no smoking site. Smoking is permitted once off the school grounds past the car park barrier and out of the school’s gate.

Anyone who attends the Centre and is suspected to be under the influence of drugs or alcohol, or they become aggressive, either verbally or physically will not be allowed entry into the Children’s Centre or will be asked to leave.

Children Centre Staff

There is no tolerance for members of the public or professionals to treat Children’s Centre staff in an aggressive, racist or hostile manner or to be subject to the use of inappropriate language.

Kitchen use

It is not permitted for children to use or be in the kitchen area and the stair gate must be used at all times.

The Centre does not permit the consummation of hot drinks in the Centre where children are present.

The Centre has several hot water vacuum flasks for use, please ask a member of staff to fill them for you. For your safety and that of others, please ensure the safety catch is in the red, locked position before moving the vacuum flask.

General

Should you notice any potential hazard or risk to users of the Centre please report it immediately to a member of staff.

Room Use Protocols

The Centre has resources that can be used for your booking which includes ICT equipment, table and chairs and Early Years Resources. This will be discussed with the user on booking the room and will be made available to you on arrival.

The community room is used for a wide variety of purposes and therefore it would be appreciated if the following procedures were followed:-

  • Please arrive 15 minutes prior to your activity booking to set up the room
  • Please ask your attendees not to arrive earlier as the Centre is not large and there may be nowhere to wait
  • Please ensure the room is left ready for the next user. All bookings have a 15 minute allowance to tidy up

Refreshments

  • Tea, coffee and sugar facilities can be made available by prior arrangement
  • Cutlery and drinking cups are to be found in the kitchen cupboards
  • Please observe that the Centre is a nut free zone at all times
  • Please provide your own milk and snack

General

At the end of every activity held in the room please:

  • Leave the room tidy with no items left on the floor or low tables
  • Chairs – adult chairs should be stacked and put away behind the screens.
  • All rubbish must be put into the bins provided.
  • All resources borrowed must be put back into the relevant boxes
  • No resources are permitted to be taken off site, unless with prior agreement from the Centre Manager.

Please do not forget to hand in your completed Agency Room booking form on leaving the building.
