POSITION SUMMARY

Under the supervision of the Youth Enrichment Coordinatorthe Before/After School Program Directoris a non-exempt position under FLSA, responsible for overseeing before/after school programming at aTurner Unified School District elementary school program location. This position is responsible for maintaining academics, enrichment, recreation and operation of a designated program sitewhile supervising at least one other staff member and up to 120 children. This employeemust be able to prioritize work and make changes as needed on a daily basis while exercising sound independent judgment. This employee must possess knowledge of before/after school programming and the development, implementation, and coordination of programs and services that meet the needs of the whole child. This employee’s work schedule traditionally occurs on weekdays between 7AM to 8:30 AM and 3 PM to6PM during the Turner Unified School District..

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Effectively and courteously communicate with the public, officials, instructors, and employees of the TRC, some of whom may be irate or unreasonable; orally and in writing
  • Assist in resolving concerns and complaints from instructors, participants or the general public
  • Anticipate potential risks of injury, take measures to remove them, and in the event of an injury, have the ability to implement emergency medical procedures
  • Provide courteous service to all participants, parents, instructors, visitors and staff
  • Maintain the knowledge required to operate a licensed child care before/after school program site
  • Develop and maintain a high level of communication and positive relationships with program school site administrators, teachers, office staff, lunch clerks, custodians, TRC leadership and staff and before and after school program staff
  • Obtain at least 15 clock-hours of professional development training per year as approved by KDHE licensing requirements
  • Develop and maintain positive parent communication, relationships, and services
  • Provide program orientation for new participantsand encourage involvement within the program
  • Respond promptly and courteously to parent concerns and immediately notify your supervisor
  • Communicate with parents/guardians regarding student progress and performance through student portfolios and parent-teacher conferences and updates
  • Meet at a minimum on a monthly basis with your supervisor to coordinate program design, discuss evaluation processes and outreach efforts, and address any other issues
  • Manage day-to-day operations of the program
  • Coordinate with your supervisor and facilitate before/after school staff meetings
  • Assure safety and supervision of children at all times, with a minimum 15:1 ratio of adults to children
  • Maintain high visibility at the before/after school program site
  • Assure program spaces that are utilized are well maintained and left in superior condition
  • Develop and maintain a schedule of academic, recreation, and enrichment activities within guidelines of program format
  • Assure accurate distribution and accounting of snacks
  • Develop and submit monthly newsletters and supply requests, weekly student attendance and lesson plans, and daily student snack reports on a timely basis
  • Recruit and enroll program participants to meet average daily attendance requirements
  • Identify, train, and supervise program director designee, group leaders, volunteers, parent liaisons, and community partners to implement academic, recreation, and enrichment activities
  • Coordinate payroll of before/after school program staff
  • Coordinate evaluation process, including surveys of participants, staff, and parents
  • Maintain a variety of records (e.g. accident and incident reports, checklists, financial records, etc.) and submit these to your supervisor
  • Be familiar with and have theability to conduct the program site’s emergency action procedures
  • Be alert and greet all participants and parents with a smile
  • Obey and comply with all TRC, Program Site, State, and Local ordinances and policies

MARGINAL FUNCTIONS

  • Ability to report to work as scheduled and notify your supervisor a minimum of 120 minutes in advance in case of an emergency or sickness and 48 hours in advance otherwise
  • Notify parents of upcoming fees and obligations
  • Establish and maintain partnerships with community based organizations, public agencies, local universities, city agencies, and other collaborators
  • Assist in designing a sustainability plan with your supervisor for before/after school program
  • Assist in resolving concerns and complaints from the general public
  • Maintain reliable transportation for work commute purposes
  • Perform minor custodialmaintenance of program space utilized
  • Routinely act as a resource for TRC program inquiries with responses provided in a timely manner
  • Provide users with any information desired about the program within legal responsibility
  • Perform a quick inventory before and at the end of each program day
  • Collaborate with your supervisor on budget development and expenditure tracking
  • Attend school staff meetings quarterly to provide information and updates on before/after school programming
  • Ensure that all lights are turned off,doors are locked, and program site staff are notified before leaving the program site
  • Obey and comply with all TRC policies and procedures
  • Assist other departments and perform other duties as deemed necessary or assigned

POSITION REQUIREMENTS

Experience and Education: This position requires a person who is18 years of age or older and meets one of the following requirements:

  • Has been approved as a program director for at least 120 children or youth as specified in K.A.R 28-4-429(e) of Kansas Laws and Regulations for Licensing School Age Programs through KDHE;
  • Has a minimum of a four-year bachelor’s degree from an accredited college or university and job-related experience of at least six months; or
  • Hasat least 60 credit hoursfrom an accredited college or university with at least 12 or those hours of academic study or equivalent training in child development, childhood education, curriculum resources, nutrition, child guidance, parent education, supervised practicum, and administration of childhood programs and six months of job related experience.

License/ Certification: Employee must have a valid driver’s license. Must maintain automobile liability insurance on vehicle used to perform job duties for TRC of at least $100,000 single limit or such other amount as TRC policies may require in the future. CPR, First Aid, AED certification, bloodborne pathogen training, and Hepatitis vaccinations or the ability to obtain these within 30 days of employment.

Technical Knowledge, Skills and Abilities: Demonstrates an understanding of licensing regulations applicable to the program, child and youth development principles, administrative and supervisory skills, designing and facilitating professional development, experience working with academic curriculum, an understanding of age-appropriate activities and services, the ability to communicate clearly, skills and abilities to implement the program of activities, the ability to foster positive, healthy relationships with children or youth, and the competence to manage the program in compliance with the program policies, the program plan, and the State of Kansas regulations. Demonstrates an ability to prioritize one's own work and an ability to define, measure, and evaluate results. The ability to plan and coordinate tasks, understand and anticipate problems, interpret written instructions, reports, and manuals is essential. Employee must have the ability to concentrate and accomplish tasks despite interruptions, perform a variety of tasks simultaneously or in rapid succession, and perform job responsibilities in a timely manner in order to meet scheduled deadlines. This employee must possess physical and mental abilities to work independently, follow oral and written instructions, and possess above average written, verbal, and non-verbal communication skills. This employee must be able to operate a computer, calculator, copier, and other office equipment.

Problem Solving: Independent problem solving is essential. This employee encounters problems with participant, parent, employee, and citizen complaints and incidents. Demonstrates an ability to resolve work related issues.

Decision Making: Independent decision making is involved. This employee makes decisions about resolving complaints and correcting issues, and performing supervision duties in the most efficient manner. This employee must have the ability to use good professional judgment, honesty, and integrity in decision making as well as make immediate pressure related decisions.

Supervision: This employee is subject to direct supervision from the Program Director and overall supervision by the Executive Director and has some supervisory responsibility over subordinate personnel.

Financial Accountability: This employee is responsible for department equipment and has no purchasing authority.

Personal Relations: Daily contact with program participants and parents, the general public, co-workers, and moderate contact with supervisory personnel.
