Objective:

  • User will be able to enter a short-term suspension for a student.
  • User will be able to save the short-term suspension to student’s discipline record.

Prerequisites:

  • User has access to SMS.
  • BCPSS codes exist in SMS.
  • Students are available for data input.
  • Instructional status of student is special education.

Notes:

  • Student’s name will appear in bold type in the behavior module.
  • Student will have data in MDIEP section.

Steps:

SMS Home Page /
  1. Log –on as school administrator.
/ Access program with administrator rights.
  1. ClickStudent Search from Chancery SMS control bar.
/ Opens student search criteria.
  1. Enter search criteria (last name or student number) and click Search button.______
/ Student located.
  1. Click student name.
/ Demographics page opens.
  1. Click Overview Tab.
/ Overview screen opens.
  1. Scroll down to Special Services to determine if student’s instructional status is special education.
/ Box is checked.
  1. View cumulative days of removal total. _____ (write total)
/ Field populated with number of days student has been suspended prior to current date.
  1. Click MDOIEP on SMS control bar.
/ Panel found and opens
  1. View student’s status:
If Blank, student status is general education
If filled in, student status is either referred or special
education / Special education data appears.
  1. Click on OK button.
/ Return to Select Student screen.
  1. Click box next to student’s name to select student.
/ Box checked.
  1. Click Actions in task bar.
/ Dropdown menu appears.
  1. Select Add Behavior Incident.
/ Add Behavior Incident screen appears.
  1. Enter the date the incident occurred as Incident Start. 11/12/2007
/ Defaults to present, change to actual incident date.
  1. Select Incident Category. Discipline
/ Only category available.
  1. Select Overall Incident Severity. Level II
/ Dropdown menu appears with choices Level I through Level III.
  1. Click the Available Event/Concern that applies to the incident. 405 Fighting
/ Selected event/concern appears in Bold type.
  1. Click ADD to move Event/Concern to Selected box.

  1. Scroll down Available Actions and click on selected action. Short-term Suspension

  1. Click ADD to move Available Action to Selected box.

  1. Enter Action start date for selected action. 11/12/2007
/ Defaults to present, change to actual action start date.
  1. Enter Action end date for selected action. 11/13/2007 (2 days)
/ Defaults to present, change to actual action end date.
  1. Click Continue button.
/ Record is saved and opens Edit Behavior Incident screen.
  1. View Incident Category. Discipline
/ Same as entered on Add Behavior Incident screen.
  1. View Incident start date. 11/12/2007

  1. Enter Incident start time. 11:00 a.m.
/ Time appears in field.
  1. Enter Incident end date. 11/12/2007

/ Defaults to school entering data, student’s home school.

  1. Type in name of person other than school staff making the referral in Referred By (Other), if appropriate.

  1. View Overall Incident Severity. Level II

  1. Type brief description of incident in Incident Descriptionbox.

  1. Click Additional Incident Details
/ Additional Incident Details screen opens.
  1. Click Location category.
/ Dropdown menu appears with location categories.
  1. Select Location category. Inside School
/ Selected location category appears in field.
  1. Click Location.
/ Dropdown menu appears with locations.
  1. Select Location. Cafeteria

  1. Type in Other location details.

  1. Select Factor (motivation for behavior), if applicable. Gang involvement

  1. Scroll down to view student involved.

  1. Scroll down to Events or Concerns. View ONLY, do not make changes to this section.

  1. Scroll down to Actions. View selected action. Short-term Suspension
/ Action appears as previously selected.
  1. Under Action Step, click on Select Appropriate Action Step.
/ Opens Edit Action Step screen.
  1. Select Action Step Category. Short-term Suspension
/ Select same category as previously selected.
  1. Select Action Step from dropdown list. Conference with student
/ Selected action step appears in field.
  1. Type in brief description of outcome in Description field.
/ Description appears as typed.
  1. Scroll down to ActionStepDateRanges.
/ View fields to enter date and time of conference with student.
  1. Enter Start Date of student conference. 11/12/007.

  1. Enter End Date of student conference. 11/12/007.

  1. Scroll back up to summary screen.

/ Date student returns to class is captured.
  1. Click OK.
/ Returned to the incident.
  1. Scroll down and click Short-term Suspension in Action panel.
/ Student Summary page appears.
  1. View total past suspension days.
/ Step 7 + 2 days = total
  1. Click OK.

  1. Click Home on the Task Bar.
