JOB DESCRIPTION

TITLE:Marketing and Training Administrator

(6 month fixed term contract in the first instance)

HOURS:30 hours per week

RESPONSIBLE TO:Marketing andCommunications Manager

STAFF REPORTING:Not applicable

BASED FROM:Head Office (Please note an office move is

scheduled for June 2012 to Edgbaston B15 1DU).

MAIN TASKS:

To provide a comprehensive and professional administration service across a range of key business areas in the charity which include:-Marketing, Communications, Fundraising, External Training and Conference Management. Support the Marketing and Communications Manager to positively promote and raise the profile of people with autism and the services provided by Autism West Midlands.

RESPONSIBILITIES:

Marketing and Communications

  1. Updating the Autism West Midlands website, with specific responsibility for the news, events and recruitment sections
  2. Updating the Autism West Midlands staff site, with specific responsibility for news, events, CEO updates, staff newsletter and the policies and procedures section.
  3. Assist with the design and management of market research, including inputting surveys onto the electronic system
  4. Working on specific communications projects and campaigns as directed by the Marketing and Communications Manager, including video diaries, blogs and awareness-raising events.
  5. With direction from the Marketing and Communications Manager, obtain quotes for promotional/marketing items from multiple suppliers, ensuring best value and working to a specified budget.
  6. Supporting community fundraisers and organisations with events and activities organised to raise funds for Autism West Midlands
  7. Maintaining relationships with fundraisers and acknowledging fundraiser support through a variety of appropriate methods.
  8. Attend information, advice and marketing events, setting up and running the organisation’s presence at such events.
  9. To maintain personal and professional development to meeting the flexible requirements of the role.
  10. To attend team meetings and contribute to other team activities as reasonably requested

External Training and Conferences

  1. Manage communications between training/conference team and delegates by producing invitations, welcome letters, acknowledgement notes etc
  2. Keep all spreadsheets/documents/outlook calendars up-to-date for the training team
  3. Conduct research as directed by the External training and conferences manager
  4. Provide support for the preparation and delivery of conferences and training sessions including maintaining a booking system, printing handouts, producing attendee lists, certificates and name badges etc
  5. Book training venues and catering and liaise with trainers/venues/caters regarding the details of a course
  6. Respond to queries about training and conferences via email and telephone
  7. Provide limited sales support for the training team including research, calling and emailing potential customers and attending events

ADDITIONAL RESPONSIBILITIES

The post holder will be expected to:

  • Undertake training and development (mandatory and statutory) deemed necessary for the pursuance of the post.
  • Ensure that Health and Safety is observed in the course of employment.

  • Participate in regular supervisions with line manager.
  • Attend and participate in staff meetings.
  • Undertake such other duties as are required from time to time, including working unsocial and/or different hours and occasionally at different sites

  • Educated to NVQ Level 4 or equivalent
  • GCSE Grade A – C in English Language/Communication or equivalent
  • GCSE Grade A – C in Mathematics or equivalent

  • Educated to degree or equivalent level
  • A marketing qualification or desire to work towards one (CIM or equivalent)
  • A UK driving licence and access to a car

  • Demonstrable administrative experience gained in an office environment
  • Demonstrable experience of conducting research using a range of tools and information sources

  • Experience of working in marketing capacity (voluntary or paid)
  • Experience of successfully planning and organising events

  • Good working knowledge of IT systems including Microsoft Word, Excel Power point and, email and the internet and their application in a work/office environment
