Senior Administration Officer
Position Objective
To provide administrative support to Council from the Barham branch office, including clerical, development & rating enquiries, receptionist & receipting, V-Line and RMS services. To provide quality customer service to internal and external clients.

Key Accountabilities and Duties
Shall include but not be limited to:
Reception
  • Provide a professional reception service, including telephone and counter enquiries, relaying all messages and information to relevant officers.
  • Provide quality customer service, communicating in a friendly and courteous manner and effectively managing customer enquiries and complaints.
  • Manage office flag, including flying, maintenance and protocol.
  • Receipting and daily balances
  • Photocopy and file documents
  • Process daily mail
  • Carry out all duties and process associated with provision of V-Line & RMS services
  • Carry out all duties and process associated with the service provision of various agencies such as Internet, GAC etc.
  • Provide clerical duties for landfill operations, as required
  • Administer hiring of Hall & Receptionist room
  • Assist public with internet access facility.
Development Services
  • Provide administrative support to the development services department.
  • Provide back-up to the Senior Administration Officer
  • Update memos in Council’s rates system regarding development services activities
  • Maintain, update, balance and prepare for audit, all Development Services registers
  • Prepare Council waste reports and quarterly waste reports for EPA
  • Prepare Council’s NSW Food Authority annual return
  • Prepare Council’s Affordable Housing return
  • Prepare Council’s SEPP1 return
  • Administer Department of Planning Performance monitoring reports.
Other
  • Effectively organise and prioritise workload
  • Contribute to the continuous improvement of office administration systems
  • Comply with WH&S legislation and related Policies and Procedures - Identify and report workplace hazards and follow all reasonable directions of Supervisors with regard to safety.

  • All assigned tasks are completed professionally and within specified timeframes.
  • All registers, returns and reports are accurate and completed within set timelines.

  • Proven ability to meet deadlines, maintain confidentiality and establish work priorities.
  • All required documentation is completed accurately and within set timelines.

Selection Criteria
Essential:
  • Demonstrated experience in an office environment.
  • High level of keyboard and computer skills including word processing, spreadsheets, databases, email and Internet.
  • Excellent customer service skills.
  • Well developed oral and written communication skills.
  • Ability to work effectively in a team environment under minimum supervision.
Desirable:
  • Certificate III in Business Administration or equivalent relevant qualification.
  • Local Government experience.
  • Knowledge or experience related to development services within local government.
