Announcements:

-Selina will be gone over Spring Break: Bruce Dugger will be in charge

-Grad Celebration is Friday, June 10th at Willamette Park (Graduation is on June 11th – see Selina for regalia rental – great opportunity to connect with grads and wear a funny hat!)

-Selina taking students to Fisheries Council meeting: email her with questions

-April 9th is Marine Science day at Hatfield: families welcome!

Nash rewiring to improve internet access

-It will be visiting offices to check out spaces if you have a space that requires supervised visits, email Selina.

-This is also a good time to ask about adding data drops (not phones)

  • See Amber for map of rewiring and taking notes for additional drops. Maps will be at her desk late next week and through spring break.

-Rewiring is displacing Emeritus faculty (Hall and Coblentz): we are currently working on finding a solution for their space

Committee Reports

-Space and Safety:

  • Thanks for efforts to comply with lab safety checks
  • Space inventory occurring soon: Ann will get a call
  • The inventory will be supervised by someone from the space to make sure space utilization is explained accurately

-Diversity: Diversity session may happen during retreat. Survey is going well, please respond if you haven’t already!

-Curriculum: need to meet up with undergrad advisors – expect a doodle poll in your email soon and answer promptly, please.

-Scholarships: 3 laurels approved, $60,000 for 2017 laurels. Let Nancy know if you have any students you think may qualify and to find more scholarship details.

  • Multnomah Hunters and Anglers clubhas been donating for 75 years: want to recognize their generosity in some way and have some kind of press release.
  • Perhaps we can invite them to participate in a lab for a day, or tour them around Hatfield – something to show them what we are doing and what they are supporting.

-Graduate Committee: need to finalize which ethics classes are acceptable for our degree – many grad students are unsure of which classes will work.

  • Lisa Pierson is returning
  • She is in Weniger 439, not advising gradsat this time and has her own project to work on. Updates will be provided as needed.

-Web and Outreach:

  • 1. Compilation of relevant outreach events on share drive in PDF form
  • 2. Collaborate with scholarship committee to interview scholarship winners – want this up by mid-June.
  • Perhaps also add a list of previous winners somewhere on the website?

FERPA RELEASE FORMS

-FERPA release form required for ALL students for whom you are writing a recommendation letter if the letter mentions any academic information. Violating FERPA jeopardizes OSU’s eligibility to receive federal financial aid

-We are trying to find a way to streamline/get umbrella coverage for this process

  • Maybe have students fill one out during FW 307?

-For now, have the student fill the form out and return to the front office

  • NO paper copies – you can have the studentadd electronic signature or scan it in after filling it out and attach it to an email to Nancy Allen
  • Suggestion: fill out generically to apply to multiple letters, current and future
  • Form is included at end of these notes and will be sent as separate attachment

Purchasing Policy update

-Dept. credit card delegated to someone else can no longer just CC the PI

  • An affirmative reply must come from the PI
  • OR the PI can send a separate email indicating that person is approved to use a certain index up to a certain amount or for certain items.

Position Description updates:

  • Reviews in summer, still haven’t received info from college to update all descriptions. Still waiting on student success language
  • Updates will be in place by 2017

Job Board Discussion

-Possible problem – access to job ads, which are currently placed on a listserv that people may not know about (but link is posted in the Newsletter each week!). Listserv combines all types of positions, cannot be keyword searched.

-Trying to think of non-time consuming ways to make sure grad students have a chance to see the jobs that pass through – ideas welcome

  • Would grads be able to deal with more emails?
  • Put it on the webpage? RSS feeds (ask Leighann)
  • Just make it known to students where to look? Should Forest categorize them?
  • Perhaps this is a non-issue and it’s up to students to seek out this information on their own?

-What Selina heard: may not be an issue, will wait for advice from grad students

Retreat:2nd or 3rd week of Sept. – may change as Peavy is booked for the last 3 weeks of that month and that was the venue of choice.
