Assistant Registrar/Stud book Manager

A few years ago the role of the Registrar was considered such an important and time-consuming post that it was agreed to appoint an Assistant Registrar/Stud Book Manager to assist with a number of duties. Sian Williamsthe current holder of this post has now tendered her resignation with effect from the end of the year, and applications are sought for a replacement. This is not an officer post and, as such, the individual appointed would not become a member of the board or be required to attend committee meetings,

Currently it is the responsibility of the Assistant Registrar to maintain the Society’s studbook. This requires the entry of foals bred annually, along with the issue of new passports, registration of imported stock, registration of transfers of ownership, and registration of the death of stock.

The following summarises the skills required:

Practical Skills: TheAssistant Registrar must be computer literate as the stud-book is maintained on the Society’s computer and is a database that requires constant updating. The Assistant Registrar is also the first point of contact with Grassroots (a database for Breed Societies).Any paperwork is also generated by computer as is the producing of passports, transfer of owners and currently producing the stud-book.

Inspections:Working with the Registrar (currently Hazel Davies), the Assistant Registrar prepares any necessary paperwork for owners to complete and also for inspections on the day. The Assistant Registrar will need to attend all inspections to update passports as necessary and help with organisation on the day.

Space: Space is needed for the Society computer and printer/photocopier, 2 four-drawer filing cabinets and several boxes of archive records. To conform to the Data Protection Act these must be stored safely and securely in a locked environment - sorry but the garden shed is not acceptable.

Accessibility: All passports must be sent by registered mail. The Assistant Registrar would therefore need an address where such mail could be delivered and signed for/or an ability to collect from a Post Office. Similarly when passports are sent out the Assistant Registrar would need to take these to a Post Office

Time: This is of the essence and we would recommend that theAssistant Registrar should be able to volunteer on average 10 hours a week of their time. Some periods are busier than others so this can vary.

Character: You should be approachable and professional. You will need to work closely with the committee and inspection team and be available to Society members and the general public. You will also need to liaise with government departments such as DEFRA and other stud-books when necessary.
