ASSISTANT PRODUCER (Part-Time)

We are looking for an enthusiastic and organised individual to take on the role of Assistant Producer. You will be responsible for assisting the Executive Producer in the administration and management of all company activity. In particular you will be responsible for the smooth running of the company’s touring productions, marketing and office administration.

THE COMPANY
Told by an Idiot is an Arts Council England funded theatre company and this year we are celebrating our 22nd birthday. Since our first production in 1993 we have built a critically acclaimed reputation for producing work that is moving, comic and utterly theatrical. In all our work we set out to explore the human condition by celebrating and revelling in a style of theatre that is bigger than life. We seek to acknowledge the artifice of theatre and make no attempt to put reality on stage. We remain, however, fascinated by the fine line between comedy and tragedy that exists in the real world. JOB DESCRIPTION

The main function of the Assistant Producer is to assist the Executive Producer in the setting up and management of the company’s productions, running the company’s marketing activity and ensuring the smooth running of the office and its administration.

Told by an Idiot is a small team that manages a large output. The company traditionally produces two shows a year – one a national tour and one in a supporting capacity with a national/regional venue. All productions are supported by complementary activity. The company also runs a successful participation strand of work, Taught by an Idiot, with year-round activity through-out the UK.

Key Responsibilities

PRODUCING & TOUR BOOKING

To assist the Executive Producer in the following areas:

·  producing the work of Told by an Idiot

·  raising the external profile of Told by an Idiot nationally and internationally

·  maintaining existing, and nurturing new, relationships with national and international venues, directors, producers, and promoters

·  assisting the Executive Producer in the planning and research stages of future projects

In addition, to take responsibility for:

·  Administrating productions/projects / R&D’s where relevant, including checking availabilities, booking audition / rehearsal rooms

·  Aiding in the organisation of, and attendance of events including workshops, projects, production meetings

·  Booking travel and accommodation for specific productions / projects as required

ORGANISATIONAL DEVELOPMENT

To support the Executive Producer in the following areas:

·  formulating plans and policy documents

·  holding regular meetings with the Artistic Director to ensure effective communication, decision making, and consistent operation of policy

·  co-ordinating a process of continuous evaluation of the effectiveness of the organisation in fulfilling its aims and objectives

·  keeping up-to-date with relevant developments in theatre policy and practice

EDUCATION & PARTICIPATION

·  assisting the Participation Manager in the organization, administration and running of all Taught by an Idiot activities

FINANCE

·  being responsible for setting and monitoring specific budgets as delegated by the Executive Producer

·  being responsible for finance administration with the Finance Manager and Executive Producer; paying in monies and petty cash and following up outstanding invoices when necessary

FUNDRAISING

·  assisting in researching, identifying and making appropriate applications to statutory and non-statutory funding bodies to support all stages of a project, alongside the Executive Producer, Participation Manager and Fundraising Consultant

MARKETING & AUDIENCE DEVELOPMENT

·  producing and keeping up to date information for the company website and design and send E-newsletters through CMS / MailChimp

·  managing the marketing strategies of the organisation and liaise with the company’s Press Representative

·  maintaining Told by an Idiot’s database and to be responsible for data protection

·  co-ordinating the production of flyers and posters for productions and their appropriate distribution

·  establishing and maintaining contact with the Marketing Departments of host or co-producing venues

·  producing and distributing marketing packs

·  be responsible for organising the programme for each production where necessary

·  co-ordinating the design, maintenance and updating of Told by an Idiot’s website

HUMAN RESOURCES

·  reviewing and ensuring compliance with the company’s Handbook, Health and Safety Policy, Children, Young People and Vulnerable Adults Protection Policy, Equal Opportunities Policy and Diversity Action Plan in line with current work practice and statutory legislation.

ADMINISTRATION

·  organising relevant insurance for personnel and equipment on tour and in the office

·  ensuring the daily smooth running of the office, including the IT systems and liaising with the IT company

·  co-ordinating internal and external meetings

·  implementing and maintaining systems of office management alongside the Executive Producer

·  undertaking any training the Executive Producer or Board might consider necessary

·  undertaking any ad hoc projects and tasks as advised by the Executive Producer

BOARD

·  collating and distributing papers for the Board

·  minuting meetings and distributing within an appropriate timeframe

PERSON SPECIFICATION

Essential Skills

·  Excellent IT skills and a working knowledge of the following software: Microsoft Word, Microsoft Excel, Facebook, Twitter, Photoshop

·  Excellent written and oral communication skills

·  Experience in digital forms of communication and marketing

·  A high standard of organisation, efficiency and accuracy

·  Ability to work on own initiative and as part of a team

·  Numeracy and budgeting skills

·  Excellent time management and project management skills

·  Ability to prioritise multiple task

Essential Interests and Experience

·  A knowledge of and a commitment to theatre and new work

·  Experience in arts administration

·  Experience in arts marketing

·  Experience of working with artists

·  An understanding of diversity in its broadest sense

Desirable Interests and Experience

·  An understanding of the national cultural environment and the issues affecting the making and distribution of work in the sector

·  An interest in and experience in international work

·  Experience in working with CMS software for websites

·  An interest in digital initiatives within the arts, and digital marketing

·  An awareness of the company’s work

·  Experience in fundraising

·  Proofing or copy writing abilities

TERMS AND CONDITIONS

Salary: £24, 000 p.a. pro rata (4 days a week) - PAYE contract

Responsible to: Executive Producer

Dates: To begin ASAP

Hours: This is a part-time position. 4 days per week. Normal office hours are 10am – 6pm with one hour for lunch. There may be a requirement to work evenings and occasional week-ends, for which overtime is not paid but TOIL (time off in lieu) can be taken.

Holiday: 25 days per year (pro-rata) plus statutory bank

holidays

Place of Work: The Assistant Producer will be based at the Told by an Idiot office in RADA Studios, 16 Chenies Street, London and will occasionally be required to travel and work away from London.

Probationary Period: Three months

Notice Period: Four weeks
