P/t librarian/archivist/Project Manager

Salary Scale - £12,720 NJC Scale 3 pt.15, inclusive of OLWA for 25 hrs/week

Job Purpose

To lead and manage a two-year project to conserve and digitise the archives relating to the Armenian Diaspora held at CAIA’s Library and resource Centre, and to increase access through a programme of activities.

This project is funded by the Heritage Lottery Fund.

Main Duties and Responsibilities

·  Catalogue and maintain accurate records/books/audio visual materials and archives of Hayashen Library/Resource Centre to enable public usage with the involvement of volunteers. This includes developing and maintaining an online catalogue for display on CAIA’s website.

·  Recruit, deliver induction/training, manage, supervise and support volunteers in various library and archival tasks. Help develop a team that are able to provide a library service and implement digitization project delivery programme.

·  Coordinate implementation of CAIA’s digitization project; work/liaise with various professionals and volunteers to agreed programme timetable.

·  Draft policies related to cataloguing, preserving and managing digital material/archives.

·  Organise digitisation project planning and review meetings, setting agenda and taking minutes

·  Arrange and organizing library records /resources/archives in a logical, informative and accessible manner

·  Organise Exhibition/ library Open days and contribute towards project exhibitions/training events/cultural workshops

·  Overall responsibility of scanning documents, quality control, maintaining scanning records and uploading them into hard disk drive/Computers/on line

·  Maintaining record-keeping system and methods of archival research

·  Dealing with all public enquires, related to Hayashen Library/Resource Centre and digitization project.

·  Procuring any stationary materials for the library/resources centre and digitisation project.

·  Formulate monitoring systems and undertake surveys/feedback from volunteers, service users, project beneficiaries.

·  Responsible for evaluation reports for project management and grant reporting purpose

·  To be responsible for the efficient administration of the Library and Exhibition, including advising on the purchase of new equipment, cataloguing, storage, and the issue and retrieval of borrowed books, archives and ensuring compliance with copyright legislation and agreed policies.

·  To attend relevant training in order to fulfil the requirements of the job and project

·  To carry out any other tasks which may be required from time to time, under the direction of CAIA’s Chief Executive Officer.

Requirements

+ Experience in library and archives operations

+ Proven track record of coordinating and completing projects with limited resources and working in a collaborative culture.

+ The ability to take the lead, develop and evaluate project delivery.

+ Preferred experience working on digitization projects

+ Highly computer literate, including MS office suite and familiar with new forms of social media

+ Excellent interpersonal and communication skills in Armenian and English languages.

+ Demonstrated ability to plan and prioritise work

+ Ability to work effectively, both independently and collaboratively in a team environment.

+ Supervisory ability and experience to train/support volunteers.

+ Experience with computer technology and software, particularly library and archival management systems and digitization technology is essential.

+ Experience with managing projects and/or workflows in an archival or library setting.

+ Knowledge of digital preservation initiatives, standards and best practices.

+ Ability to manage a diverse set of responsibilities and tasks.

+ Knowledge of intellectual property, privacy and copyright issues.

+ Flexibility to work out of hours when necessary
