Trip T shirts will be given out at the dress rehearsal

Dear Parent or Guardian,

The May 19th trip to Hershey Music in the Parks is fast approaching. This letter contains important information concerning the trip, including the policy regarding check-in for students. Please review this information with your child. The students will be performing for professional adjudicators hired by “Music in the Parks.” The judges will give comments and a rating on their performance. It is our hope that this experience will enhance what they are being taught in their lessons and ensembles and give the students a fair assessment of their skills. We want to stress that the recreational part of their day starts after their performances and we expect appropriate behavior at all times. In addition, any ineligible student (failing two or more classes), or any student who does not attend a performance or the dress rehearsal (for reasons other than absence from school or a family emergency) will not be able to participate. The following is a schedule for the day:

SCHEDULE- FRIDAY, May 19th, 2017. Eat a good breakfast.

5:50 AM-meet at Arcola. Students should wear their trip T-shirts with black pants, dark socks and dark shoes. We will load the truck and buses and depart Arcola at 6:15 AM. Please be prompt. Students should have their instrument, music, supplies, lunch and a change of clothes with them. Do not get on the bus until you have loaded your instrument and checked in with your chaperone.

·  BUS 1 WILL STOW LARGE JAZZ BAND AND SYMPHONIC BAND EQUIPMENT.

·  LARGE INSTRUMENTS SUCH AS BASSES, BARITONES, TENOR SAXES AND CELLOS SHOULD BE LOADED IN THE BAYS FIRST.

·  SMALLER INSTRUMENTS CAN BE STORED AFTER THE LARGER INSTRUMENTS HAVE BEEN LOADED.

·  FLUTES, CLARINETS, OBOES SHOULD BE STOWED IN THE BUS OVERHEAD COMPARTMENTS.

7:50 AM -Arrival at performance site #1, Symphonic Band performance venue (Hershey High School,550 Homestead Rd. Hershey, PA 17033-0898) Unload Symphonic Band instruments. CASES SHOULD STAY ON THE BUS

·  Students who are not performing should wait on the bus, and then move to the auditorium and respectfully watch while the other groups perform until they are told to return to the busses following the Symphonic Band performance.

8:25 AM- Symphonic Band warm-up

8:50 AM- Symphonic Band performance

9:15 AM- Following Symphonic Band performance, all students to return to busses; Symphonic Band students pack and load all instruments back under the busses.

9:30 AM- Depart Hershey High School for performance venue #2, Senior Orchestra, String Ensemble, Jazz Band performances (Lower Dauphin High School, 201 Hanover St. Hummelstown, PA 17036)

9:45 AM- Arrive at second performance venue, Lower Dauphin High School and unload. CASES SHOULD STAY ON THE BUS

·  Students who are not performing should wait on the bus, and then move to the auditorium and respectfully watch while the other groups perform until they are told to return to the busses following the Senior Orchestra, Jazz Band, and String Ensemble performances.

10:30 AM- Senior Orchestra warm-up

10:55 AM- Senior Orchestra performance/Jazz Band warm-up

11:20 AM- Jazz Band performance/String Ensemble warm-up

11:45 AM- String Ensemble performance

12:10 AM- Pack and reload busses/lunch on bus

12:30 PM- Depart Lower Dauphin High School for Hersheypark

12:45 PM- Arrive Hersheypark

*Once we arrive at Hershey Park students can change clothes on the bus. The students will be required to confirm the location of the buses and all check-ins including the 6:20 pm check-in at the Hersheypark Arena. Students are required to wear their trip t- shirts in the park. CHAPERONES WILL DISTRIBUTE TICKETS TO ALL THE MEMBERS IN THEIR GROUP.

WHEN AT THE PARK

3:30 PM- FIRST CHECK- IN for all students in front of the Music Box Way Theatre. Students will sign in with their initials on the clipboards that the chaperones will have.

6:20 PM- SECOND CHECK-IN AT HERSHEYPARK ARENA. All students must attend the awards ceremony in their trip T shirts. Any student who arrives late will be subject to disciplinary action.

6:30 PM- Awards Ceremony at Hersheypark Arena. Following awards, we will proceed directly to the busses to head for home.

7:15 PM- FINAL CHECK-IN AT THE BUSSES to depart Hersheypark.

7:30 PM- Depart Hersheypark for Arcola.

9:00 PM- Arrive at Arcola. Unload the buses. Your parents will be notified via Alert Now if we have any unexpected delays and will be more than 45 minutes late.

WHAT TO PACK

-Your instrument and music folder (both should be labeled with your name and school); necessary extra supplies (rock stops, reeds, valve oil, rosin etc) Mr. Leonard and Mrs. Saul will NOT be carrying extra supply items!

-Lunch and snacks for the bus. Money for dinner and snacks at the park (recommended $30.00).

-Shorts and comfortable shoes for the park. Music T-shirts must be worn at all times. The boardwalk water park will NOT be open May 19th.

-The students should be prepared for weather conditions. Sunscreen should be packed and rain gear if the weather forecast predicts rain. Hersheypark stays open even if it rains.

-If any student is on medication the chaperone should be informed and the arrangements should be made by the student.

GROUP DYNAMICS

At Hersheypark, Arcola students are NOT required to stay with a chaperone to go around in the park, but students ARE required to travel in the park in groups of three or more students. No one is allowed to travel in a group less than three for safety reasons. If students are found in violation of this rule, they will sit with a chaperone. If the students get separated from their group at the park they will be able to go to the Music Box Way Theatre and find an Arcola chaperone on the bench in front of the theatre If you are not sure where it is, consult a map when you get to the park or check online at Hersheypark.com Chaperones will be sitting in front of the Music Box Way Theatre during the day.

§  If a student needs medical assistance-find a chaperone in front of the Music Box Way Theatre. The chaperone will take you to first aid station (near the CLAW and the PLAYDOME). They should identify themselves as Arcola students and have the nurse call Mrs. Saul and Mr. Leonard.

§  If you are planning to pick up your child at the park please submit a note to Mrs. Saul or Mr. Leonard. We must be notified in writing of any alternative plans by May 12th.
