Main job purpose
To support the Finance Director, lead and manage the Finance Support Team for Independence Matters to develop and deliver a range of efficient financial processes and procedures to ensure effective finance support is maintained throughout the company and can be taken forward as the company develops.
Role and Responsibility
Support to Finance Director
- To support the Finance Director in providing an efficient and effective finance function to the company, this will include:
- Deputising at Enterprise Development and IM Board Meetings.
- Support the maintenance of accurate financial records.
- Support the monitoring of annual budgetssurplus/deficit against monthly profile
- Support the preparation of the annual accounts in accordance with agreed timetables.
- Support the development and maintenance of the medium term financial plan to support the business plan.
- Support the review and update of Financial Policies.
- Be proactive in the improvement ofthe processes around providing performance information in the most efficient manner.
- Support the maintenance of records and minutes maintenance to record the company's activities.
- Support the submission of all regulatory files and Employee Benefit Trust files.
- Support the delivery of an ICT structure which supports the strategies and business processes of the company.
- Support the development and presentation a financial model for new business opportunities
- Support the monthly monitoring and reporting of LGPS Information.
Financial Processes & Procedures
This will include:
- Leading, supporting and motivating the Finance Support Team to deliver a range of financial support services for IM undertaking supervision and appraisal in accordance with IM guidelines.
- Generating a culture of continuous improvement to generate processes which support smooth and efficient administration of the organisation.
- Introducing new or more efficient financial management processes that minimise financial risk, develop guidance documents and establish systems for recording and monitoring financial information.
- ManagingIM’s financial accounting, monitoring and reporting systems, including managing budgets and producing accurate financial reports to specific deadlines.
- Developing external relationships with appropriate contacts, e.g. auditors, solicitors, bankers and statutory organisations such as the Inland Revenue.This also includes developing strong working relationships with outsourced Support Services
- Keeping abreast of changes in financial regulations and legislation.
- Supporting Executive Team and IM Managers with data queries and the completion of the monthly budget forecasts.
- Providing and interpreting financial information which includes monitoring and interpreting cash flows and predicting future trends;
- Managing the IM ordering process and any other procurement processes introduced by the company.
- Analysing change and advising accordingly, including conducting reviews and evaluations for cost-reduction opportunities.
Data Collection & Reporting
This will include:
- Collating key performance information from operating departments, to analyse data and draft reports to senior management and for Governance Boards and produce ad-hoc reports.
- Developing more efficient processes for generating and gathering data and to document those processes.
- Challenging all data to ensure the accuracy of data generated and reported by managers and ensure explanations are provided for variations from expected performance levels.
Education and qualification
- Good standard of education - 5 passes at GCSE level Grade C or equivalent
- Demonstrable ICT skills.
- Administrative/Management Qualification (NVQ3) or equivalent demonstrable experience.
- Financial qualification (AAT/part ACCA qualified) or equivalent demonstrable experiencein finance/data reporting and support.

Knowledge and experience
- Experience of working in an office environment – has initiated and co-ordinated a wide range of essential administrative and financial tasks and responsibilities, including producing guidance documentation.
- Experience of using Microsoft office in a working environment –including working with complex spreadsheets and manipulating them to analyse and produce data for reporting purposes.
- Experience of maintaining confidential records and an efficient filing system.
- Experience of working/building relationships with external suppliers and internal stakeholders.
- Experience of working with financial systems and processes, including managing budgets and producing forecasts.
