Mission Statement:

Beta Chapter of Alpha Alpha Alpha is committed to preserving and upholding the standards of Alpha Alpha Alpha Fraternity through the virtues of Honor and Patriotism with the goal to BETTER the Individual.

ROLES FOR EVERY CHAPTER OFFICE: (Examples must list all of your officers)

President:

The President is the Chief Executive Officer of the chapter, exercises general supervision over the brotherhood, and possesses final decision authority, subject to parliamentary procedure, the Constitution and Bylaws of the Fraternity and the chapter.

  1. Sole external voice of chapter
  2. Assure no pledge of brotherhood is demeaned in any manor
  3. Assures, through other officers, the timely completion and submission of all reports and correspondences.
  4. Seeks to develop leadership qualities in himself and his brothers
  5. Must make sure all officers and committees fully understand their responsibilities

Vice President:

The Vice-President is the Chair of the Prudential Committee, oversees all committee operations, assists the President upon request, and performs the duties of the President when he is not present.

Treasurer:

The Treasurer prepares and manages the chapter budget and all chapter finances, must keep accurate financial records, and must ensure that the chapter meets all campus and Fraternity Headquarters financial guidelines and policies.

Secretary:

The Secretary keeps records of all meetings and files them properly. He provides a copy of the minutes to the Grand Chapter Advisor and one for the permanent record book of the chapter. He maintains the files of all reports and other paperwork relating to the chapter. He is also responsible for maintaining membership records.

Risk Manager:

The Risk Manager is responsible for educating and promoting awareness of the Fraternity’s Risk Management Policies. He will inform the chapter of any policy changes instituted by Fraternity Headquarters, the campus administration, or the Interfraternity Council. He will assist in the coordination of all chapter events to ensure that all risk management policies have been considered and followed.

Members at Large:

The Members at Large are the sole brothers responsible for relaying the brotherhoods concerns and ideas to the Executive Council of the chapter. They will sit in on and vote on the Judicial Committee.

Recruitment:

The Recruitment Director is responsible for all matters relating to recruitment, including, but not limited to the development and execution of the chapter’s recruitment strategy.

  1. Submit Insurance Forms, Fill out Grade Release Forms, and President’s Plan by September 15th
  2. Academic chair meets with everyone below 2.5–Academic Chair
  3. Submit a Fire Safety Plan approved by alumni board member – House Manager
  4. Submit Fall Alumnae Newsletter by September 10th– PR and Alumni Chair
  5. Host our Fall 2010 Recruitment Open House – Recruitment chair
  6. Participation in intramural flag football – Intramural chair
  7. Attend WVWC Football game – Secretary will take attendance and our social chair will organize the event
  8. Have new members attend hazing seminar – New member coordinator will take Pledges to the meeting
  9. Perform at least 2 philanthropy projects including:Canned Food Drive, Blood Drive, and Backpacks/School Supplies

October:

  1. Welcome our alumni for 2010 Homecoming – Alumni Chair
  2. Attend WVWC Women’s Soccer game
  3. Education program for the chapter – Vice President
  4. Perform at least 2 philanthropy projects including:CROP Walk, and Trick-or-Treat for Canned Goods – Philanthropy
  5. Officer’s monthly report – President will make sure that all officers submits their report

November:

  1. Attend Greek founders day ceremony – President and Secretary will take attendance
  2. Initiate all new members by November 11th– President and New Member Coordinator
  3. Host annual Thanksgiving dinner with college officials and the ladies next door – Social Chair
  4. Chapter elections – President will follow national policy and lead
  5. Perform at least 1 philanthropy project including:- Philanthropy Chair
  6. Officer’s monthly report – President will make sure that all officers submits their report

December:

  1. Recruitment study hall to help PNM’s get good grades
  2. Officer’s monthly report

January:

  1. Host Spring recruitment open house
  2. Super bowl party with PNM’s
  3. Submit Risk Management plan to the Office of Greek Life
  4. Perform at least 1 philanthropy project

February:

  1. New members attend hazing seminar
  2. Perform at least 2 philanthropy projects
  3. Officer’s monthly report

March:

Goals for the year

PHILANTHROPY GOALS:

  1. Events to do: Host a canned food drive for the Parish House. Our goal is to connect with the people in Buckhannon through the local churches and raise food for the people of Upshur County who are unable to provide for themselves. The Parish House is very low on food. We have boxes on campus and are placing boxes in First Baptist and Chapel Hill.
  2. Since we have 2 brothers in the Military and one looking at going into the Navy, in December, we would like to do a Military Toys for tots drive.
  3. Meetings will be held on Thursdays at 8:00. Our goals for participation are 15 brothers per major event. If a brother goes out and commits an act of service such as working the Helvetia Fair, I will consult John Bohman, Director of Greek Life, about if we can count it.

MEMBERSHIP EDUCATION/DEVELOPMENT:

Brothers:

All brothers with a cumulative GPA less than a 2.5 are required to attend 6 hours of study hall in the library each week accompanied by the scholarship chair for the chapter.

New Members:

  1. All new members are required to attend a study hall on Sunday, Monday, Tuesday, Wednesday, and Thursday nights from 7:00 – 9:00. The pledge master and another brother will accompany each study hall. If the pledge master is not able to attend, the president will step in to take over education for the night.
  2. New members will also be required to attend the Alcohol Awareness Seminar as well as the Fire Safety Program.

RECRUITMENT EFFORTS:

  1. Participate in pick-up athletic games on campus weekly
  2. Hold annual smokers
  3. Attend school sporting events
  4. Attend CAB events and possible co-sponsor and event
  5. Host movie night at the house
  6. Host football games on TV at the house
  7. Host multiple dry parties at the house

The Beta Nu Chapter of Alpha Sigma Phi is an organization that prides itself on extending invitations to great men with the soul priority of making them better men. Each candidate goes through a rigorous voting and discussion session where topics of character and strengths are discussed. JUDICIAL SYSTEM: (brief overview of your system)

When a brother commits an act that is seen as disrespectful to the Fraternity or the community, an act that causes danger to anyone, or any act that is seen as unfit for a brother that may put the Fraternity at risk, his case is brought in front of the Judicial Standards Committee of the Chapter. The Members-at-Large will address the committee and present the accusation of the brother. The accused brother will then be brought in to state their case and answer any questions the committee may have. At this point the committee will decide on an acceptable punishment that is fair for the act committed. The accused brother will then have a one-week period to prepare an appeal if they so choose to decline the original punishment.

Chapter Educational Programs for the year: (Examples do not need to do all) Fire Safety, Bystander Intervention, Sexual Assault, Alcohol, Recruitment, How to manage money, better study habits…. Anything that will help your members to be more prepared and inspires them to promote their best selves.
