Job Summary: / To provide administrative support to the Charity team. The postholder is expected to foster excellent working relationships with all members of the Charity team, donors – both existing and potential – and Trust staff.
Main Duties/Tasks /
  1. Undertake day to day administrative tasks as directed by the Office Manager and Senior Team, including the preparation of letters, reports and memos, ensuring the work is of a high standard, professional and accurate. Adhering to sensitive information protocols and keeping sensitive information confidential.
  1. Deal with all incoming telephone enquiries in a professional and helpful capacity and direct all incoming calls correctly and take accurate messages. Adhere to any confidential or sensitive information protocols.
  1. Contribute on a daily basis to the efficient running of the public Charity office by receiving all donors and visitors in a welcoming and friendly manner
  1. Responsible for processing donations in line with established receipting procedures, as well as ‘ad-hoc’ donations arise from sale of merchandise.
  1. Adhere to audit procedures and liaise with the Charity’s auditors.
  1. Produce analytical reports from the fundraising database system, for audit purposes.
  1. Responsible for managing the mail, opening and distributing in a timely manner. Handling donations in line with internal control procedures.
  1. Provide support to the senior management team, including organising and scheduling meetings and room bookings.
  1. Responsible for carrying out filing in line with office procedures and ensuring the safe storage and archiving of documents/records on a regular basis.
  1. Maintain database on daily basis, updating records to accurately reflect donations received.
  1. Process daily banking
  1. Undertake other duties which may be designated from time to time by the Senior Management Team to achieve the Charity’s objectives, including representing the department on occasions, functions, and events as required.

Other: / Ability to work occasional weekends and out of hours is a necessary part of this role.
