AGI Women of Today Agenda

Sat, Nov 10th – ArlingtonCommunity Center

1) Roll Call/Introduction of guests:

  • Thank you Special Guest: Peggy Lushine, Event Planning Tips (see attached notes from her visit)
  • Kim, Jennifer, Stacy, Amy, Mary K, Dana, Gwen, Sharon & Barb

2) Officer Reports:

  • President (Kim) = Need to get Pam to close down the old website so google doesn’t bring it up.There is no work needed for taxes/year end because we pay taxes when we purchase things. We need new WoT shirts so Kim will work with her Promotional vendor from work and get some samples to vote on for our Dec meeting. Men’s T-Shirt, men’s hoodie, regular sweatshirt, waffle long sleeve shirt in colors black, red, rust & sage green.
  • Treasurer (Sharon) = Checking balance $2,907.06 (balance excludes scholarship $500), still need to pay scrap bills.

3) 2007 Events:

  • Halloween Event (Gwen & Mary K.) – Oct 26 – Had 84 kids, believe we came out even on this event. The pool asked us to do more swim in movies. If anyone wants to take this on (but wouldn’t advise having popcorn there.)
  • Scrapbook Event (Stacy/Sarah) - Nov 10– Need to wrap up P&L, get all info of things you did to Barb to make one flash drive with all 2007 event info for next event. We will review the “what worked & what didn’t work” at the Dec meeting.
  • Santa’s Helpers (Stacy) – Dec 4 - come help wrap gifts from 3:30pm – 7pm at the AmericanLutheranChurch, 911 8th Street, Gaylord.WoT donated $50 cash.
  • Volunteer Opportunities – The SE After Prom Committee is looking for volunteers to help serve food at home basketball games for the season. GIRLS Home: Fri Dec 7; Thurs Dec 13; Fri Jan 25. BOYS Home: Mon Jan 7; Tues Feb 12; Fri Feb 29. If you are interested in helping, contact Lori Waltz at 507-964-1046.

4) 2008 Events: We will review the ENTIRE list at Dec event to decide which ones we will do and who will chair.

  • M Night – Start thinking of M Night ideas. Who can create a database of people based on AGI people signed up at any of our events? Have one in Jan?
  • Spring Scrapbook Event (Barb) – Feb 23rd
  • Easter Event (Kim & Dana) - Sat March 15– discussed that an appropriate time would be 10-noon. Kim will fill out the school registration form to reserve the small gym.

5) Next meeting:

  • Dec WOT meeting = Friday, Nov 30th @ Dana’s house–Bring an appetizer to share & a wrapped white elephant gift! Don’t buy anything – just grab something you no longer want, wrap it and bring it. Will discuss all of next years events including when to do an M Night and the day of the week for 2008 meetings. Then we will also discuss the results of the scrap event (P&L and what we should change/not change for Feb one.)

Notes/Comments/Ideas from Peggy Lushine – Event Planner

  • Get rid of old website, when you google AGI Women of Today, the old one comes up first. The more people google our site, the more hits we will get – so google our site during your lunch breaks!
  • Talk to vendors about banners/advertising at their space and to wear something that has their logo on it. It should be easy to know which vendor you are at. (Kim will do this.)
  • Add table tents to tables for sponsors & vendors, then send them pictures of your advertising. This is also a great way to advertise our WoT and what we do for the community (get people to join)
  • She liked the letter we sent to registered scrappers because it included the logo’s of the vendors at our events. It’s important that vendors get a copy of these so they know they are getting a plug.
  • Use different color paper and fonts for our inserts in the goodie bags (we had a lot to print and took the cheap route.)
  • Get shirts or lanyards with name tags so people know we are the hostesses of the event and a team.
  • Get out & mingle with the scrappers and vendors. This is how you find out what is going well and what isn’t
  • Never let people know there are issues or that you are upset.
  • Debrief shortly after each event – what went well, what could have been better
  • For donation letter, make sure people know it’s a FUNDRAISER for all community FREE CHILDREN events.
  • Make sure you establish a close relationship with the donors and they “get something” out of donating. Usually they just want to get their name out.
  • Hit up the marketing departments for donations or managers of stores in local areas (Target). They love to donate for kids events.
  • Can check out the state early in the year for grants or possibly United Way
  • Need to talk up the door prizes such as price, what it is, who donated it – CREATE EXCITEMENT!
  • Chan dinner theater gives away tickets for shows – Emily Lopperrud
  • Hook up with vendors to see if they are going to other events that they can advertise our group & events.
  • Vistaprint.com is a great place to order business cards, flyers, brochures, etc. really cheap. (Kim has info on this vendor and will bring to Dec meeting.)
