Catering and Entertainment

Todd confirmed that the KomokaCommunity Center has been booked for the dinner and reception portion of the July 3 event. Keith has contacted an entertainer, (Paul French), who has agreed, subject to availability, to perform at the reception. Todd will ask Donna if she will do the catering (followup – Donna was asked and would like to do this). The merits of hiring Nancy Johnson to prepare a short video documentary on CampKMK was discussed. This was set aside in favor of having Jon MacIndoe, a former staff member, produce a video presentation featuring pictures and DVDs of KMK pieced together with interviews with past and present KMK staff and campers. Jon has indicated that he is willing to do this, in conjunction with his bother Daniel and sister Jessica, also both former staff members. Possible subjects to be interviewed include John Eberhart, Tim and Jim Bayless, Sylvia Brightwell, Bill Stevens, Donna Patterson, (former cook). and Keith Wales. Bill MacIndoe is to investigate whether an early version of the video can be prepared prior to the next meeting.

To be arranged – interviews in October or November. Bill will ask John MacIndoe if he would be able to do the videotaping. We need to arrange a time and place for the interviews. The following will be contacted to see if they will be willing to participate:

Ideas to mark the Occasion

In addition to the Open House and dinner reception, the committee discussed marking the occasion of the anniversary by:

- building better steps down to the creek at the Forks

- making the camp more "green' through such things as improved water heaters

- building an extra cabin for camp staff (for accommodation or for a quiet-room lounge)

- establishing a Legacy Fund with the interest earned to provide camper subsidies

- upgrading cabin windows

- a deck on the Director's Cabin. A discussion followed on whether we should build the deck prior to the event and encourage donations toward the constructions costs on the day of the event.

To do – get costs for deck and steps. Todd will investigate the deck design at Rona or Home Depot (Bill will try to find the plans that were created several years ago). Jane will look into the possibility of building steps with Uncle Jack (and try to estimate a price).

Schedule for the Day

On the day of the event guided tours may take place throughout the grounds. Activity centers may include the Craft Lodge, the pool, the sports field and the chapel. Cabins may also be used for display material. We agreed that the schedule for the open house would be 11 until 4 or 4:30. Joanna agreed to help organize the activities at camp. Todd knows someone who can take pictures the day of the open house – he will contact them to check on their availability. We should try to find someone to do videotaping as well.

At the reception the entertainment before and after the dinner may include the video presentation, a singing grace, skits, and performances by Jon and Julie Allen and Paul French. John Eberhart has been suggested as the possible key-note speaker. We agreed that the dinner should begin at 5:30 or 6 so that the evening does not go too late for people that need to travel. Jane knows some entertainers that do some skits – she will inquire about their availability.

50th Anniversary Logo

Dave presented ideas for a 50th anniversary crest. These will be passed on to Alex Connon, a former staff member who has produced T-shirt artwork for KMK in past years.

(Update – Alex has this information and is working on a proposal for October)

Souvenirs

The committee discussed the merits of producing the following as possible souvenirs to mark the day: t-shirts, golf shirts, key chains, water bottles, stationery, place mats at the dinner reception, center pieces, and grace cards. Breanne had information from a company that does water bottles. Todd will look into other possibilities.

50 Trees to mark 50 years

Bill reported on his meeting with a representative from the Upper Thames Valley River Conservation Authority. This organization has a program under which we may qualify for trees to be provided at no cost to the camp to help with reforestation of our camp property. Their representative suggested a combination of trees and bushes to give greater depth and colour to the landscape. This would also help hide the orange fence visible from such areas as the chapel. Most of these trees will be planted in the spring, but Dave requested that one be held back to do a ceremonial planting on July 3.

Memorabilia and Pictures

We need to get pictures from the summer that we can use for the website and as potential content for memories book and video. Joanna will ask Kaylin to make a CD of the summer pictures and send to Dave.

Pat Langdon showed the 1980 KMK songbook that her daughter Pam had copied for us to use for the open house, memories book etc. Edward took this as he is collecting the pictures and digital resources for our use. Pam will also be copying the registration brochures that she has available. Edward thought it would be good if Pam can scan the brochures, and just send the scan files to him – then we could reproduce them in any form we like.

Jane handed in the list of people that signed up on a sheet at registration time, who were willing to help with the anniversary in some way. Only a few people signed this sheet, but it was taken by Edward and the people will be called or emailed as a followup.

It was confirmed that Eric Lindros was a camper at KMK in 1980. Keith will try to contact Eric through his friend that rents a cottage to Eric, and see if he has any interest in attending our 50th anniversary.

Dave asked all members of the committee to talk to their contacts who may have pictures or other items of interest to the camp. We need to start getting these items so we can assess how much raw material we have for the memories book and video. Edward has offered to scan or duplicate all items and return the originals to their owners right away so that we don’t have to worry about returning items months from now.

Updates on these initiatives will be given at our next meeting scheduled for Wed. Oct 14, the location for which will be confirmed for committee members.
