SCOPE OF WORK: Provides administrative support for the Associate Vice President of Academic Affairs specifically in the areas of Perkinsgrant file management, educational technology support, and institutional assessment reporting processes. This position reports to the Assistant to the Vice President of Academic Affairs/Office Manager.

ACCOUNTABILITIES:

  • Provides clerical and technology based support to the Academic Affairs Office.Provides primary coverage for the Academic Affairs Office in the absence of other Academic Affairs staff.
  • As requested by the AVP, develops and assembles a variety of announcements, brochures and similar documents related to workshops and other events for Academic Affairs Office.
  • Maintains a current working knowledge and maximizes the use of the computer forword processing, report generation, database maintenance using the college's common software packages.
  • Assists the Director of Institutional Research with completing Banner related reports for research projects supported by the College.
  • Assists AVP and Director of Online Learning with maintaining data documenting Online Learning activity, including attendance and summary of participant evaluation forms.
  • Assists Academic Affairs faculty and staff with travel plans including but not limited to managing submission of required paperwork, verify accuracy of information submitted, ensure reimbursement
  • Assist AVPAA with the administrative aspects of the Perkins Grant.
  • Complies with all system, college, state and federal rules and regulations.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

Education: Completion of high school, G.E.D. or its equivalent, including courses in office procedures, word processing or typing. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Two (2) years' experience in a secretarial position, one year of which shall have been at the level of Secretary I or its equivalent.

Preferred Qualifications: Associate’s degree from a recognized college or university with a major study in accounting, business, administrative assistant, or completion of two years of college. Experience in budget report and grant file maintenance preferred. Working knowledge of technology software used in educational settings preferred.

License/Certification: None required.

Ability to type a variety of correspondence, statistical material and reports with speed and accuracy. Ability to maintain confidential information. Ability to assign, check and review work of other clerical employees. Ability to establish and maintain effective working relationships with other employees and the public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the college’s appointing authority.
