ADE – Student Biographical Data (SBD) Screen shots

Access the CDE Website and find the purple button in the left column to link to the Automated Data Exchange (ADE)

The page that appears explains how to access and use the ADE webpage.

At the bottom of the ADE page, is a link that will connect you to the ADE site.

The next ADE page allows you to examine documentation or to access the system itself.

When you are ready to enter the ADE system, click the ‘Automated Data Exchange System’ link. Going any further in the system requires district ‘user’ names and passwords.

Enter District Name and Password here.


Enter individual user name, password, system and school year here.


The ADE SBD Main Menu is limited to these buttons at the beginning.


After pressing “Download or View Reports” button on the Main Menu, the following screen will appear. These screen shots show the file names as sbd0010.tx1 or sbd0010.cs1. For the ACT process the files will be named act0010.tx1 and act0010.cs1. Of course the 0010 will have your district number instead. From this point forward in this document anything titled with the “sbd” will have “act” in the actual screens you see for the ACT process. This includes file names and report titles.

From this ADE page, you can download your data file. This data file is identified as Initial Download File from CTB.

It will either be a ‘txt’ file or a ‘csv’ file. The differences are explained in the ‘Using Excel’ presentation.

When you have found your file and its name appears in the proper space, press ‘Submit File’.


After a file with no errors has been submitted, AND the Data Summary Report has been downloaded. The Approve/Reject FILE Submission Data button appears.


After pressing the “Approve/Reject” button this screen will appear. Now you must ‘Approve’ or ‘Reject’ the file.
