Additional information for variable hours staff

  1. Availability

Although the hours are part time and variable, Sustrans seeks those who will be available to work on a regular basis.

  1. Induction

Local induction – the Co-ordinator, Cycle Skills Unit will provide an induction at Group Gatherings.

  1. Training

Where initial training is required, Sustrans will pay Cycle Instructors travel expenses and course fees but not for the Cycle Instructors time. Thereafter

Sustrans will pay Cycle Instructors for attending training courses that Sustrans requires them to attend.

  1. Access to Intranet (Susnet) and other internal systems

Staff on a variable hour contract will receive access to Susnet – the Sustrans intranet. This will enable access to all charity information and all policies. A Sustrans email address will also be made available – this is accessed via Outlook.

  1. Appraisal

Bikeability mentoring will be used to evaluate performance at least annually.

  1. Travel expenses

Variable hours staff will be entitled to a fixed rate payment for travel dependent on the journey length. This payment will be made through the payroll and is therefore subject to tax and National Insurance. A mileage log is required to be authorised by the Co-ordinator, Cycle Skills Unit and will be sent to HR each month. Travel distance (return trip based from base) and fixed rate payments are as follows:

***Before any arrangement for travel over 90 miles is made, approval must be given by the Co-ordinator, Cycle Skills Unit and the mileage payment agreed in advance.

  1. Cancellation payment

The following are the proposed payments for work that is cancelled by Sustrans or by a Sustrans customer.

Sustrans will supply all Cycle Instructors with a uniform and it must be worn when representing the Charity.

  1. Annual leave entitlement

Staff on a variable hours contract are entitled to accrue annual leave. This will be added to timesheets every quarter. The annual leave year runs from 1 January to 31 December. Sustrans offices are closed during the Christmas and New Year period.

  1. Sickness Absence

If variable hours contracted staff are unable to work for Sustrans due to illness, there may be an entitlement to Statutory Sickness Pay. This will be dealt with on an individual basis as it depends on the length of illness and level of earnings. SSP1 form can be provided by Sustrans if required.
